  THE ROLE
The Project Coordinator is the operational engine behind every installation we run. You are responsible for making sure jobs launch correctly, run on schedule, and close completely — on time, on budget, and to our quality standard. You will be the connector between our customers, our sales team, and our installer network, keeping everyone aligned and every project moving forward.

  KEY RESPONSIBILITIES

Production & Job Management
 

  • Launch every job with a confirmed scope of work, schedule, and installer assignment. 
  • Check in with installers each morning to confirm progress and address any issues before they grow. 
  • Confirm scope and compensation with each installer on-site the day the job begins. 
  • Track days-to-complete against allocated project days and actively manage the production schedule. 
  • Obtain ETAs from installers and communicate updates to customers and the team proactively. 
  • Ensure every job closes completely — trims, transitions, cleanup, and all customer concerns scheduled/resolved & any additional billable work has agreed to by customer and documented/communicated to office — before marking it billable. 
  • Manage repairs and rework; all issues reported must be addressed and resolved within 10 business days of notice. 

Quality Control & Customer Experience
 

  • Conduct on-site visits during active jobs to verify quality, pace, and crew conduct. 
  • Ensure all customer concerns are identified and addressed before and after job completion. 
  • Be a calm, decisive voice for customers and installers when problems arise — solution-oriented and good under pressure. 
  • Ability to complete small repairs/misc work. 

Materials & Logistics
 

  • Prepare job materials in advance for installer pickup. 
  • Run miscellaneous materials to job sites as needed. 
  • Pick up materials from vendors when required. 
  • Accept and manage deliveries; maintain an organized warehouse. 

Installer Network & Development
 

  • Build and maintain a reliable subcontractor network through active recruiting. 
  • Lead installer orientations and ensure every new sub understands our standards and expectations. 
  • Invest in the skills and education of installer crews — coordinate seminars, training opportunities, and ongoing coaching. 
  • Hold installers accountable professionally and fairly so that mistakes become learning moments. 
  • Maintain fair and respectful relationships with installers, the sales team, customers, and all internal team members. 

Communication & Team Alignment
 

  • Have installers provide daily photo check-ins and progress updates on active jobs. 
  • Attend and contribute to team meetings; be a clear and honest communicator. 
  • Act as the handoff point between sales and production — carry the baton and own it. 
  • Make decisions aligned with our mission and core values.

  • Available and responsive — early mornings happen; you're not caught off guard. 
  • Reliable transportation — you'll be moving between the office, vendors, and job sites regularly. (We have a production van.) 
  • Experience in home improvement, construction, or field coordination is a plus. 
  • Flooring experience is highly desirable — we'll train the right person.
