This opportunity is with our Good Shepherd – Finance Team.
Reporting to the Payroll Manager, the PT Payroll Clerk supports accurate and timely payroll processing for union and non-union employees. The role reviews timecards and payroll changes, validates earnings and deductions, maintains payroll records, assists with reconciliations and compliance reporting, and responds to routine payroll inquiries.
The successful candidate will demonstrate accuracy, integrity, confidentiality, reliable follow-through, and respectful communication while supporting Good Shepherd's Mission and Values.
Responsibilities
~2 min read- → Review and verify timecards, approvals, hours worked, overtime, premiums, vacation, sick, lieu and other paid or unpaid time; follow up on missing or inconsistent information before payroll deadlines
- → Support bi-weekly payroll processing by reviewing payroll inputs, payroll journals, exception reports, and other payroll records for accuracy
- → Process and verify payroll changes including new hires, terminations, wage/salary changes, retroactive adjustments, status changes, and other approved payroll transactions
- → Review gross pay, overtime, statutory deductions, union dues, benefits, pension/retirement deductions, garnishments, and other payroll deductions
- → Maintain accurate payroll system data, employee records, and supporting documentation while identifying and resolving or escalating discrepancies and variances
- → Prepare and process Records of Employment (ROEs) and assist with T4s, T4As
- → Support payroll reconciliations, internal controls, records retention, and compliance with established procedures and timelines
- → Respond to routine payroll inquiries from employees and managers regarding pay, deductions, time records, and payroll processes
- → Work collaboratively with Human Resources and Finance to ensure employee and payroll changes are complete, accurate, and processed on time
- → Maintain strict confidentiality of payroll, banking, employee, and other sensitive information
- → Provide backup and administrative support during peak periods, absences, year-end processing, and other operational requirements
- → Observe all Good Shepherd health and safety rules and comply with the Occupational Health and Safety Act and related regulations
- → Perform other duties as assigned
- Demonstrated commitment to the mission and values of Hospitality, Respect, Responsibility, Quality, and Spirituality
- 3–5 years of payroll experience preferred
- Completion of Level 1 of the National Payroll Institute certification program; PCP designation or progress toward completion considered an asset
- Working knowledge of Ontario employment standards, payroll legislation, statutory deductions, and payroll practices
- Experience with payroll processing, time and attendance, payroll reconciliations, ROEs, and year-end payroll activities
- Proficiency with Microsoft Excel and ADP Workforce Now is required
- Experience in a unionized or multi-company environment considered an asset
- Strong attention to detail, accuracy, analytical and problem-solving skills
- Strong organizational and time-management skills with the ability to manage recurring deadlines and competing priorities
- Excellent verbal and written communication and interpersonal skills
- Ability to maintain confidentiality, exercise professionalism and integrity, and follow established payroll, accounting, and internal-control procedures
- Ability to work collaboratively with Finance, Human Resources, managers, employees, and other stakeholders
- Demonstrated initiative, adaptability, and willingness to learn
