Administrative Assistant – Urology Clinic
Location: Simon Cancer Center
Schedule: Monday–Friday, 8:00 AM–4:30 PM
Work Model: On-site (with potential to move to a hybrid schedule in the future)
This role provides essential administrative and clinic support in a fast‑paced outpatient urology environment. The individual will work closely with providers, nurses, and clinic staff to support daily operations and patient care.
What Success Looks Like
At 3 Months:
Working independently with mentor support
Understanding clinic workflows and priorities
At 6 Months:
Fully independent in assigned responsibilities
Confidently managing daily administrative and clinic tasks
At 12 Months:
Independently handling responsibilities while expanding skills
Taking on new tasks
Identifying opportunities and making recommendations for process improvements
Key Responsibilities
Making pre-operative reminder calls for clinic cultures
Locating and managing clinic images and documentation
Providing administrative support to the Riley Urology Clinic
Assisting providers, nurses, and clinical team members as needed
Performing additional tasks as assigned to support clinic operations
Managing priorities effectively in a busy clinical setting
Skills & Qualifications for Success
Highly organized, reliable, and responsive
Strong team player who works well with clinical and administrative staff
Ability to identify issues and prioritize tasks based on urgency and importance
Medical Assistant (MA) experience or medical office experience is a plus
Comfort working in a fast‑paced, patient‑focused environment
Administrative Support Functions
Provides basic administrative and technical support to leaders and teams
Manages calendars, schedules, and meeting coordination
Coordinates travel arrangements when applicable
Processes invoices and handles routine inquiries
Addresses basic administrative and technical issues with general guidance
Required Qualifications
High School Diploma or GED required
0–3+ years of relevant experience required; previous administrative experience preferred
Basic proficiency with Microsoft Office applications, including Word, PowerPoint, and Excel
Ability to work effectively in a fast‑paced, complex, and matrixed organization
Strong organizational skills with the ability to manage multiple priorities
