Finance Secretary Job Description
DUTIES AND RESPONSIBILITIES
The Finance Secretary is responsible for:
- Administration and documentation of all salaries, wages, bonuses, deductions and stipends of all employees.
- Maintaining accurate documentation for financial operations and transactions.
- Assisting teachers, staff and parents with financial record keeping and practices.
- Managing the day to day maintenance of complete and accurate financial records.
- Assisting account payables and receivables activities.
- Addressing financial issues and inquiries in a timely manner.
- Managing and accepting all incoming payment from parents and companies (Payer).
- Receiving and verifying payment requests (incoming bills) and ensuring timely payment.
- Managing employee reimbursements, reviewing, verifying and documenting.
- Assisting the finance manager with budgeting and forecasting.
- Assisting in preparation for the audits, liaising with all departments involved.
- Assisting the finance manager with the year-end tax return of ISB employees.
- Preparation and processing of online banking.
- Maintaining and overseeing all passbooks including the school credit card payments.
- Preparing a VAT report and submitting the report to the tax office each semester.
- Managing and filing VAT payment by proxy. Including bringing into the Korea which constitutes an import of goods, services or rights subject to the return and payment of value-added tax with customs duties.
- Performing the day to day activities associated with general ledger maintenance (Bookkeeping on the accounting program Duzon).
- Updating budget expenditure and providing the budget balance to the relevant departments including the PTA and the school shop.
- Managing the asset list on the accounting program (Duzon) on units priced over KRW 1 million (to calculate the depreciation cost).
- Issuing and maintaining the donation receipt for the payer's income tax return.
- Maintaining the files for all invoice issues (except the school-wide school fee invoice).
- Preparing and processing direct debits.
- Collecting the summer airfare from the school travel agencies and informing the faculty in a timely manner.
- Purchasing educational materials and services based on the ISB Financial Procedures Handbook.
OVERVIEW
- The Finance Secretary is appointed by Head of School
- The Finance Secretary reports to the Finance Manager
TERMS OF EMPLOYMENT AND EVALUATION
- Employment contract is annually renewed
- Conditions of employment are guided by the most up to date school policies
- Appraisal and Evaluation of this position will be conducted by the Finance manager
