The People Events team is part of the JetBrains People department. We are responsible for organizing internal events both locally in our Belgrade office and company-wide. Our events range from in-person to virtual and hybrid formats, and include celebrations, well-being initiatives, and sports competitions. Additionally, we assist various internal teams with their events – from small gatherings to large conferences – and support a variety of internal projects and cross-team processes. We also develop documentation, guidelines, and governance policies.
We’re currently seeking an Event Specialist to join our team in Belgrade!
- Plan and organize global and local employee events, including the JetBrains birthday celebration, Health Days, the annual summer and winter parties, sports events, and more.
- Manage event communication and coordination from planning through execution.
- Conduct post-event evaluations, including cost analysis and feedback collection, sharing insights with relevant stakeholders.
- Manage event budgets and invoicing in collaboration with project leads.
- Collaborate with partners and external service providers, including by negotiating terms and prices.
- Support the organization of other office events, such as streaming parties, breakfast meetups, and onboarding sessions for newcomers.
- Help organize team events, such as team gatherings and team-building activities, participating throughout the process from brainstorming to implementation and assisting participants as needed.
- Contribute to the People Events team’s activities, taking on various responsibilities, including note-taking, digest preparation, and task tracking.
- Maintain and update internal documentation, employee guides, and checklists to ensure the team’s knowledge base is accurate and accessible.
- Collaborate with and support other internal departments, including Travel, Design, Branded Merchandise, Procurement, Office Management, Accounting, Legal, and others.
- Contribute to cross-team processes and coordination, such as calendar management and internal communications.
- Explore and adopt new event platforms and tools.
- Handle additional relevant duties as needed.
- Relevant professional experience organizing and managing events with up to 500 attendees.
- Fluency in English, with knowledge of Serbian being an advantage.
- Excellent organizational skills and attention to detail.
- Strong communication, negotiation, and interpersonal skills.
- Strong writing skills.
- The ability to work under pressure and handle multiple tasks simultaneously.
- An analytical and structured mindset, with a willingness to create, manage, and maintain documentation, as well as control internal procedures.
- Relevant vocational training or experience in event management, tourism, hotel management, communication, marketing, office management, HR, or a related field.
- Experience working in an IT company.
- An understanding of the local event landscape.
