As a Client Services Manager, you will provide high-level executive support while coordinating projects, priorities, and client-facing initiatives.
You will help senior leadership stay focused by managing complex schedules, communications, follow-ups, and critical business priorities.
The role combines executive coordination, project management, and stakeholder engagement within an international professional services environment.
You will take ownership of projects from planning through completion, coordinating contributors, tracking deadlines, and proactively addressing risks.
You will also serve as a communication bridge between clients and accounting and finance professionals, ensuring requests are routed and followed through effectively.
This remote opportunity is designed for a proactive, highly organized professional who can work independently while maintaining consistent U.S. Pacific Time availability.

  • Provide high-level executive support and coordinate senior leadership priorities, schedules, meetings, and appointments.
  • Manage complex calendars and competing priorities while protecting executive time and ensuring commitments are properly scheduled.
  • Monitor communications, identify matters requiring attention, and maintain follow-up items through completion.
  • Prepare meeting agendas, presentations, reports, briefing materials, and other business documents.
  • Attend meetings, capture key decisions and action items, and ensure appropriate follow-through.
  • Anticipate executive needs and proactively address scheduling, information, and coordination requirements.
  • Handle confidential client and business information with discretion and professionalism.
  • Manage assigned projects and initiatives from planning through completion.
  • Establish and maintain project plans, timelines, milestones, deliverables, and action items.
  • Coordinate internal and external stakeholders, clarify responsibilities, and follow up on deadlines and outstanding commitments.
  • Identify project risks, delays, dependencies, and missing information, escalating issues when appropriate.
  • Maintain clear project status visibility for leadership and support improvements to recurring processes, workflows, templates, and documentation.
  • Support communication and coordination with clients and external stakeholders.
  • Coordinate client requests with Accountants, CFOs, Financial Directors, and other professionals.
  • Support client onboarding, proposal preparation, invoicing coordination, and accounts receivable follow-up when required.
  • Identify requests requiring technical accounting or financial expertise and coordinate them with the appropriate specialist.

Requirements

  • Strong experience as an Executive Assistant, Senior Executive Assistant, Executive Coordinator, or similar role supporting senior executives.
  • Demonstrated experience managing projects, initiatives, or cross-functional deliverables beyond traditional administrative responsibilities.
  • Strong calendar management, meeting coordination, communication, and executive-priority management skills.
  • Excellent written and verbal English communication.
  • Strong critical-thinking, problem-solving, organizational, and attention-to-detail skills.
  • High emotional intelligence, professional judgment, discretion, and confidentiality.
  • Proactive and resourceful approach, with the ability to anticipate needs and independently move work forward.
  • Comfortable communicating professionally with clients, executives, and senior stakeholders.
  • Strong ownership, accountability, and follow-through across multiple simultaneous priorities.
  • Strong working knowledge of Microsoft 365.
  • Practical experience using AI tools such as ChatGPT, Microsoft Copilot, Claude, or similar tools for professional work.
  • Ability to work remotely from Latin America with consistent availability during agreed U.S. Pacific Time business hours.
  • Comfortable using Hubstaff for time tracking and engagement-related reporting.
  • 5+ years of executive support experience is preferred.
  • Experience supporting founders, partners, C-suite executives, or senior leadership is advantageous.
  • Experience independently managing projects from initiation through completion is a plus.
  • Exposure to accounting, finance, bookkeeping, outsourced accounting, consulting, or professional services is preferred.
  • Experience working with U.S. or international clients is an advantage.
  • Familiarity with project management, CRM, and workflow-management platforms is a plus.
