As a Senior Event Operations Manager, you will lead the operational execution of complex live events ranging from 500 to 5,000 attendees and budgets of up to $2M. You will serve as the operational hub, coordinating venue logistics, vendors, contractors, safety, sustainability, food and beverage, housing, signage, and financial activities. The role requires strong organization and communication to keep multiple teams aligned throughout the event lifecycle. You will work closely with show management, internal stakeholders, venues, and external partners to deliver seamless attendee experiences. Digital tools such as Cvent and Smartsheet will support registration, housing, project tracking, and operational coordination. This is a fast-paced, high-intensity remote position with a preference for candidates working in the U.S. Eastern Time Zone.

  • Serve as the operational hub for assigned events, communicating key deadlines, workflow changes, and show team requirements across departments.
  • Build and maintain comprehensive work order schedules, timelines, and cross-functional project tracking using Smartsheet.
  • Act as the primary operational liaison with venues, decorators, and general service contractors, coordinating utility and facility requirements including electricity, internet, plumbing, rigging, and related services.
  • Oversee third-party vendor relationships and non-sponsored fulfillment for activations, show management areas, and evening events, including floral, transportation, décor, and security services.
  • Develop and implement event Health & Safety and Security plans while supporting sustainability initiatives, tracking progress, and reporting results.
  • Finalize food and beverage requirements and conduct detailed reviews of Banquet Event Orders.
  • Manage hotel housing blocks and related administrative processes, using Cvent for registration and housing management where applicable.
  • Oversee invoice processing, operational budget management, and financial tracking for event activities.
  • Manage the end-to-end production, placement, and execution of event signage.
  • Collaborate across teams to address operational challenges and adapt quickly to changing requirements in high-pressure live event environments.

Requirements

  • 5+ years of experience managing complex, large-scale live events, ideally involving 500 to 5,000 attendees.
  • Hands-on experience with Cvent for registration, housing, and attendee management.
  • Strong proficiency with Smartsheet for project management, operational tracking, timelines, and cross-functional coordination.
  • Demonstrated ability to manage and reconcile operational budgets of up to $2M.
  • Deep knowledge of venue logistics, utility ordering, general service contractors, rigging, internet and telecommunications, and event health and safety requirements.
  • Strong experience with invoice processing, financial reconciliation, and Banquet Event Order reviews.
  • Exceptional written and verbal communication skills with the ability to coordinate effectively across internal teams, vendors, venues, and event stakeholders.
  • Outstanding attention to detail and strong organizational and project management abilities.
  • Ability to remain flexible, prioritize effectively, and make sound decisions in fast-moving, high-pressure event environments.

  • Willingness to work occasional evenings and holidays when required by event schedules; this is a high-intensity role that may not align with a strictly 9-to-5 schedule.
