The Manager, Look & Signage – Central Planning & Operations is responsible for the day-to-day operational planning, contractual oversight, and supplier performance management that enables the successful delivery of Look and Signage across venues and events. Working closely with the Senior Manager, this role acts as the contract and execution authority, ensuring suppliers meet their contractual obligations, schedules, budgets, and compliance requirements. 

This position plays a key role in contract management, supplier accountability, scheduling, budgeting, and operational readiness, supporting the broader LNS PMO framework. The Manager ensures that central planning functions—including contractor logistics, accreditation, travel, warehousing, documentation, and data management—are executed consistently, efficiently, and in line with agreed scopes and timelines.

The ideal candidate is highly organized, contract-savvy, and confident holding suppliers accountable, with experience managing operational detail within large, complex, deadline-driven environments.

This role reports to the Senior Manager, Look & Signage Operations & PMO

Responsibilities

  • Serve as the primary owner of operational contracts for Look and Signage suppliers, managing the contracting process 
  • Act as the day-to-day point of contact for contractors, managing expectations, clarifying requirements, and resolving operational issues
  • Ensuring supplier performance aligns with contractual scope, timelines, and commercial terms; flag risks, non-compliance, and cost exposures early
  • Track and manage contract-related documentation, change requests, extensions, and scope clarifications in coordination with PMO and Procurement
  • Ensure contractors fully comply with all LNS operational requirements
  • Support tender processes by assisting with operational inputs, supplier onboarding, and readiness reviews
  • Maintain close communication and collaboration with Procurement, Central Planning, and Finance functional areas
  • Collaborate with Senior Manager, LNS Operations & PMO to manage department-wide scheduling for Look and Signage installations and contractor resources
  • Coordinate contractor logistics including travel, accommodation, accreditation, vehicle access, and venue load-in/load-out schedules
  • Support accreditation processes for contractor personnel and vehicles, ensuring accuracy, completeness, and timely submission
  • Support warehouse and logistics planning for signage production, storage, distribution, and returns
  • Maintain accurate and up-to-date planning documents, trackers, and schedules aligned with PMO standards
  • Support budget management for Look and Signage by tracking contractor costs, forecasts, and operational spend
  • Identify potential budget risks driven by contractor performance, scope creep, or scheduling changes
  • Ensure operational decisions align with approved budgets and raise issues requiring escalation

  • Maintain clear folder structures, data hygiene, and version control across LNS operational documentation
  • Contribute to the development and continuous improvement of operational processes, templates, and planning tools
  • Work closely with the Senior Manager to integrate Look and Signage operations into the broader PMO planning framework
  • Collaborate with venues, functional areas, procurement, finance, and accreditation teams to ensure aligned execution
  • Provide clear and timely updates on contractor status, risks, and readiness
  • Collaborate with LNS team for continuous improvement, on schedule delivery, and impact
  • Proactively identify risks related to contracts, logistics constraints, schedule conflicts, or other operational risks
  • Develop and implement mitigation actions in coordination with the Senior Manager and PMO
  • Ensure operational issues are resolved efficiently while maintaining accountability and contractual discipline

Requirements

  • Bachelor’s degree in project management, logistics, operations or a related field. 
  • Minimum5+ years of experience in project management, central planning, or PMO-related roles within large-scale events or organizations. 
  • Experience with contractor oversight, scheduling, accreditation, and logistics.
  • Ability to meet tight deadlines and handle multiple tasks simultaneously. 
  • Excellent communication and problem-solving abilities.
  • Ability to adapt in a high-pressure, fast-paced environment with multiple concurrent priorities.
  • Outstanding interpersonal and relationship-building skills, with the ability to work across multiple functions and levels of the organization, including outside partners, venue owners/representatives, and suppliers.
  • Excellent organization, time management, administrative, and computer skills.
  • Familiarity and competency with Workday, Agiloft, Smartsheet
  • Innovative Approach – Ability to identify opportunities, develop new ideas and execute on concepts while managing to a budget and fixed timelines

Requirements

  • The position is based in Los Angeles with in-person attendance required.
  • The LA28 office is an open floorplan working environment, employees must be able to work efficiently in an open-cubicle environment.
  • The majority of work will be conducted in an office setting, requiring extended periods of time using computers, phones, and other office equipment.
  • Perform other duties as required; the role will evolve over time and may include operational responsibilities during the Olympic and Paralympic Games.
  • Ability to lift and carry light materials (such as marketing collateral) as needed 

Periods of high workload leading up to and during Games time, including the possibility of extended hours, evenings, weekends, and holiday work.

The annual base salary range for this position is $88,000.00 - $115,000.00. The pay scale provided is the range that LA28 reasonably expects to pay as starting base compensation for this role. All LA28 compensation remains subject to final determination based on individual candidate qualifications, experience, or other reasonable criteria consistent with LA28’s operational business needs and applicable law.
