HR Associate (supporting global HR operations)

Laundryheap is a global on-demand laundry and dry-cleaning company operating across the UK, India, Singapore, Dubai, France and Slovenia. Our People team keeps a fast-growing, multi-country business running smoothly. We're looking for an HR Associate to be the operational engine behind it.
Reporting to HR Ops, you'll own the day-to-day, high-volume work that makes HR run: onboarding, offboarding, lifecycle admin, payroll support, reporting, and HR and office coordination.
Responsibilities
~2 min read- →Onboarding: Own onboarding from offer acceptance through Day 1, so every new hire has a smooth, well-documented start.
- →Work closely with Talent Acquisition, who handle documentation and background verification up to the offer
- →Track post-offer BGV completion and escalate discrepancies to the relevant manager, keeping HR Ops informed
- →Coordinate ID cards, WeWork parking and card access with IT and facilities
- →Collect salary, bank, PF and UAN details from new joiners for processing
- →Compile onboarding and 30-day feedback data for HR Ops to review and act on
- →Offboarding: Manage the administrative backbone of standard exits, maintaining accuracy and ensuring outbound communication is always reviewed before release.
- →Own the offboarding process end-to-end on Hibob for standard exits, maintaining accurate, up-to-date records
- →Draft experience letters and responses to post-exit queries, routing each for HR Ops review and sign-off before release, without exception
- →Coordinate PF/UAN and bank-detail updates required as part of the exit process
- →Employee lifecycle:
- →Process and maintain confirmation records on Hibob during and following probation
- →Ensure all lifecycle documentation is accurately uploaded and maintained on Hibob
- →Engagement and communication: Keep the employee experience running smoothly through consistent communication and well-executed events.
- →Distribute HR announcements and reminders
- →Own the logistics and on-ground execution of engagement events, including vendors and volunteers
- →Reporting and data governance: Be the custodian of data accuracy across HR systems and reporting.
- →Compile data for MIS, HRIS, engagement reports and the monthly HR Ops dashboard
- →Track vendor invoices and expense documentation, escalating discrepancies to Finance
- →Maintain accurate leave balances and data hygiene across trackers and HiBob
- →Payroll support: Provide the operational backbone that keeps payroll accurate, without holding decision-making authority over pay.
- →Compile and organize monthly payroll inputs, including attendance, leave, and new joiner/exit data, for HR Ops review
- →Process bank account, PF, and UAN detail changes for existing employees, and ensure these updates are reflected in payroll processing
- →Employee Query Resolution: Serve as the accessible, reliable first point of contact for the HR inbox.
- →Field and resolve employee queries on leave, policy, general HR matters, and bank account/PF/UAN detail changes, ensuring updates are reflected in payroll
- →Route any query involving pay amounts, salary changes, full-and-final settlement, or insurance directly to HR Ops rather than resolving independently
- →Office & Facilities Coordination
- →Manage day-to-day office upkeep in coordination with housekeeping and vendors
- →Own WeWork coordination, including parking, card access, and meeting room upkeep
- 3–5 years in HR operations, HR shared services or HR admin
- Exposure to an HRIS platform (Hibob or similar) is enough; deep system expertise isn't required, but the ability to learn and adapt to systems quickly is important
- Comfort with high-volume, deadline-driven work across onboarding, offboarding and multiple stakeholders
- Strong proficiency in Excel/Google Sheets for tracking, reporting, and data hygiene work
- High attention to detail, particularly for tasks involving PF, UAN, bank account, and compliance-adjacent employee data
- Clear, professional written communication for employee-facing queries and correspondence
- A bachelor's degree (HR specialisation preferred, not essential)
