ThermalWorks LLC has an exciting opportunity for a Compliance Specialist to join the Operations team and support the Compliance Officer in maintaining and advancing the regulatory, safety, and certification standards that govern the company's products and global operations. The Compliance Specialist serves as the technical and documentation backbone of the compliance function — translating engineering changes into compliance actions, tracking certification status across product lines and regions, and ensuring that no product reaches a customer without the documentation, labeling, and regulatory backing it requires.

This role sits at the intersection of Engineering, Operations, Quality, and Compliance, and works closely with external certification authorities and notified bodies in both North America and the European Union. The Compliance Specialist will be central to ThermalWorks' continued growth across multiple jurisdictions, where regulatory frameworks differ substantially and the volume of product change is high. Success in this role requires technical literacy, analytical discipline, and the ability to hold a complex documentation landscape steady while engineering and supply chain decisions move rapidly around it.

Responsibilities

  • Maintain product compliance documentation for all ThermalWorks products manufactured for the North American and European markets, ensuring that documentation reflects current product configurations and applicable regulatory requirements.
  • Coordinate third-party certification activities with applicable certification authorities and notified bodies, including submission preparation, field labeling remediation, and authorization correspondence.
  • Support product safety and conformity assessment processes across multiple jurisdictions, including the preparation of declarations of conformity and related regulatory documentation.
  • Track pressure equipment, environmental substance, and hazardous-area compliance for product lines and components as applicable to destination markets.
  • Support the preparation and submission of regulatory ratings documentation, including electrical, mechanical, and safety ratings required for product listing and labeling.
  • Serve as the compliance interface within ThermalWorks' Engineering Change Request (ECR) and Engineering Change Notice (ECN) workflow, ensuring that every change with regulatory implications is reviewed, documented, and routed to the appropriate certification authority where required.
  • Track variation notices and related compliance documentation required for changes to certified product configurations, including component substitutions, supplier changes, and design revisions.
  • Review Bills of Materials (BOMs) and engineering drawings to identify components requiring compliance review prior to release.
  • Coordinate with Engineering and Quality teams to ensure that technical specifications, cut sheets, and regulatory ratings are attached to engineering changes at submission rather than retrieved retroactively.
  • Support the resolution of compliance documentation gaps, including instances where a component appears in production use but is not reflected in the current certification documentation.
  • Maintain compliance documentation within the company's product lifecycle management, asset management, and document management systems, ensuring version control, retention policy compliance, and accessibility for internal audits and regulatory inquiries.
  • Support the transition of compliance records into the company's evolving enterprise systems landscape, including integration between product lifecycle management, service management, and enterprise resource planning platforms.
  • Prepare and maintain product nameplate and labeling documentation, ensuring that all units shipped to customers carry accurate, current, and regulator-compliant identification.
  • Support asset tracking and traceability integration, ensuring that asset-level data flows correctly into the company's quality and compliance management systems.
  • Maintain the manufacturing bulletin library and ensure that withdrawn, superseded, or revised bulletins are appropriately archived and communicated to manufacturing partners.
  • Serve as a documentation point of contact for certification authorities and notified bodies, supporting the Compliance Officer in scheduling inspections, providing technical packages, and routing authorization letters.
  • Coordinate compliance information flow with contract manufacturers in multiple regions, ensuring alignment on product configurations, change implementation, and documentation.
  • Support manufacturing site quality and compliance reviews, including periodic self-audit processes and third-party assessments conducted by certification authorities.
  • Track and document compliance-related communications with key component suppliers, particularly where supplier-side changes (capacity constraints, component substitutions, or supply-driven events) carry compliance implications.
  • Travel up to 20% of the time to support compliance activities at ThermalWorks sites, manufacturing partner sites, customer commissioning events, and certification authority meetings.
  • Participate in the daily Operations review cadence and contribute to the company's open projects tracker for compliance-owned items.
  • Support cross-functional initiatives that coordinate lifecycle, quality, and compliance decisions across the engineering, operations, and service functions.
  • Provide compliance perspective during proposal review, customer technical reviews, and submittal preparation, particularly for projects in jurisdictions where regulatory complexity is highest.

Requirements

  • Master's degree in Regulatory Affairs, Engineering, or Quality Management.
  • Professional certification such as RAC (Regulatory Affairs Certification), CQE (Certified Quality Engineer), or equivalent.
  • Direct experience with ATEX directive compliance for hazardous-area equipment.
  • Direct experience with data center cooling industry standards, including ASHRAE thermal guidelines and industry frameworks for liquid cooling and direct-to-chip cooling systems.
  • Working knowledge of one or more European languages, particularly Spanish, given the company's active operations in Spain and the broader Iberian market.
  • Experience supporting a product company through enterprise resource planning transitions, particularly hybrid architectures involving multiple systems of record.
  • Experience working with contract manufacturers in both North America and the European Union.
  • Bachelor's degree in Engineering (Electrical, Mechanical, or Industrial preferred), Regulatory Affairs, Quality Management, or a closely related technical discipline.
  • Two to five years of professional experience in product compliance, regulatory affairs, or quality engineering within a manufacturing environment. Experience in HVAC, data center cooling, industrial controls, or pressure equipment is strongly preferred.
  • Demonstrated working knowledge of UL 508A industrial control panel compliance and the broader UL standards framework for industrial control equipment.
  • Demonstrated working knowledge of ETL listing processes and third-party certification workflows, including the role of Intertek and equivalent notified bodies.
  • Working familiarity with CE marking requirements under EN 60335-1 and EN 60335-2-40, including the role of harmonized standards and the Declaration of Conformity process.
  • Working knowledge of the Pressure Equipment Directive 2014/68/EU (PED) and the parallel ASME pressure vessel framework, particularly as they apply to evaporator and condenser components.
  • Familiarity with RoHS and REACH compliance regimes for products destined for the European Union, including component-level substance disclosure requirements.
  • Familiarity with Short Circuit Current Rating (SCCR) requirements and submittal preparation for industrial control equipment.
  • Proficiency in Arena PLM or an equivalent product lifecycle management system, including BOM management, ECR/ECN workflow, and document version control.
  • Working knowledge of ServiceNow for asset, incident, and change management, or a demonstrated ability to learn enterprise workflow systems quickly.
  • Proficiency in Microsoft Office, with strong skills in Excel for tracking large documentation matrices and Word for technical documentation preparation.
  • Strong written communication skills, with the ability to translate complex regulatory requirements into clear, actionable documentation that engineering and operations teams can execute against.
  • Analytical discipline and attention to detail. The compliance function is unforgiving of small documentation errors, and the role requires comfort working with structured information at scale.
  • Ability to hold a position firmly under pressure when compliance requirements conflict with schedule, cost, or stakeholder preference.
  • Ability to work independently in a hybrid remote environment, manage competing priorities, and meet certification-driven deadlines without daily supervision.
  • Professional discretion. The Compliance Specialist will routinely handle non-public technical specifications, supplier agreements, customer contract data, and certification authority correspondence.
  • Hybrid remote position. Core work performed from a home office, with periodic in-person presence at ThermalWorks' headquarters or at manufacturing partner sites as required for compliance reviews, product testing, and team coordination.
  • Travel of up to 20% is required, including domestic travel within the United States and international travel to manufacturing sites and customer locations as required.
  • Occasional presence required at customer commissioning events and product testing activities, which may include manufacturing floor environments. Appropriate personal protective equipment will be provided when on-site.
  • Standard business hours, with flexibility required to accommodate coordination with European Union counterparts, manufacturing partners, and certification authorities across multiple time zones.
