You are a detail-oriented and organized professional who is passionate about providing excellent service and maintaining accurate records. You have strong administrative, communication, and organizational skills, can handle confidential information with discretion, and are committed to supporting the integrity of MCFN’s membership records while delivering respectful service to community members.



ROLES AND RESPONSIBILITIES:

  • Maintain accurate and up-to-date membership records, databases, and filing systems.
  • Receive, review, and process membership applications, updates, and related documentation.
  • Verify supporting documents and ensure records are complete and accurate.
  • Respond to membership inquiries from community members, employees, and external agencies in a professional and respectful manner.
  • Prepare correspondence, reports, forms, spreadsheets, and other administrative documents.
  • Maintain confidential physical and electronic files in accordance with privacy requirements and organizational policies.
  • Organize, archive, retrieve, and track membership records and supporting documentation.
  • Assist with the preparation of statistical reports and membership data as requested.
  • Support departmental projects, initiatives, and community events as required.
  • Schedule appointments and maintain records of communications and requests.
  • Ensure all records are managed in accordance with records retention and information management requirements.
  • Report discrepancies, errors, or concerns regarding membership records to the supervisor.
  • Participate in meetings, training sessions, and professional development opportunities.
  • Adhere to all MCFN policies, procedures, and workplace standards.
  • Perform other related duties as assigned.

 

 EDUCATION AND EXPERIENCE:

  • High School Diploma or equivalent.
  • Post-secondary training in Office Administration, Business Administration, Indigenous Governance, Records Management, or a related field is considered an asset.
  • Minimum one (1) year of administrative, clerical, records management, or customer service experience.
  • Experience working with databases, electronic records systems, and Microsoft Office applications.
  • Strong organizational, communication, and interpersonal skills.
  • Excellent attention to detail and data-entry accuracy.
  • Ability to handle sensitive and confidential information with discretion.
  • Experience working with Indigenous communities or First Nation organizations is considered an asset.

 

 Other Requirements

  • Successful Criminal Record Check may be required.
  • Valid Class 5 Driver’s License may be required.
  • Ability to maintain strict confidentiality.
  • Ability to work independently and as part of a team.
  • Knowledge of records management practices and information security principles.
  • Commitment to culturally respectful and inclusive service delivery.
  • Adherence to all organizational policies, procedures, and codes of conduct.
