The Role:

The Product Administrator plays a key supporting role within the Product Development and Product Merchandising teams, ensuring the smooth running of sampling, raw material management, and product data processes. This role is integral to maintaining accuracy across systems, trackers, and documentation, helping both teams deliver products to market efficiently and to the highest quality standards.

Duties & Responsibilities: 

Sampling

  • Raise and manage purchase orders for raw materials, prototypes, trials, and finished goods samples using PD and Prima, ensuring timely processing and accurate system updates.
  • Track and manage shipments, ensuring up-to-date delivery information and documentation are recorded.
  • GRN (Goods Received Note) samples upon arrival and ensure accurate receipt logging.
  • Measure and weigh bulk samples on receipt, confirming details against supplier specifications.

Raw Materials Management

  • Liaise with suppliers and factories to ensure timely delivery of raw materials and developments, follow up on lab dips, material developments, and shipment updates.
  • Log and process invoices, resolving finance queries in coordination with the Finance team.
  • Prepare regional leather bibles ahead of handovers and maintain the seasonal leather documentation for the Product Manager.
  • Create and maintain SKU codes and related data in Prima.

Product & Merchandising Support

  • Support the Product Merchandising team with product data maintenance, SKU management, and information consistency across systems.
  • Assist in the preparation of seasonal materials for product range reviews, line previews, and handovers.
  • Collaborate with the Product Merchandising team to ensure accurate product information is shared cross-functionally with Design, Development, and Production.
  • Contribute to the smooth running of seasonal processes by supporting sample allocation, product tracking, and data validation.

Skills and Knowledge Required:

  • Technical Skills:
    • Proficient in Microsoft Office, with strong Excel skills.
    • Experience with product development or order management systems (e.g., Prima).
    • Adobe Suite and InDesign knowledge advantageous.
  • Industry Knowledge:
    • Interest in craftsmanship and manufacturing, particularly in leathergoods.
    • Understanding of product lifecycle processes and awareness of industry trends.
  • Personal Attributes:
    • Exceptional attention to detail and accuracy.
    • Highly organised, with the ability to manage multiple tasks and priorities.
    • Clear communicator with excellent interpersonal skills.
