Role description


We are seeking an Executive & Business Support professional to provide dedicated executive and business support to the CEO and COO, while operating within the Executive Office and its shared support framework. The role combines executive coordination with business reporting and analytical support and requires a high level of professionalism, discretion, and organizational capability.

 

 

Key responsibilities

  • Monitor business performance and operational activity using internal reports, business intelligence tools, and data from multiple sources, preparing structured updates and summaries for senior leadership
  • Collect, consolidate, and analyse quantitative and qualitative information to support business reporting, executive reviews, and management discussions
  • Prepare executive-level reports, presentations, and briefing materials, independently gathering information and ensuring clarity, accuracy, and consistency
  • Support the CEO and COO in reviewing information, identifying key issues, and ensuring appropriate follow-up on actions and requests
  • Act as a coordination point between the Executive Office and internal departments, ensuring effective and timely communication
  • Manage and prioritise incoming correspondence, requests, and matters addressed to the Executive Office, including those of a confidential or sensitive nature
  • Ensure the CEO, COO, and other executives are appropriately briefed in advance of meetings, events, and engagements, including background information and supporting materials
  • Manage complex administrative tasks requiring judgment and initiative, including scheduling, travel arrangements, and meeting coordination
  • Provide ad hoc support to executive officers in line with shared executive support arrangements
  • Maintain strict confidentiality and professionalism in all aspects of the role

 

Required qualifications and skills



  • Relevant professional experience in an executive assistant, executive support, business support, analytical support, or similar role
  • University degree required; a degree in business administration, economics, logistics, supply chain, finance, or a related discipline is preferred
  • Exposure to shipping, logistics, transport, or a related operational environment is considered an advantage
  • Strong analytical and reporting skills, with high proficiency in Microsoft Excel and PowerPoint; experience with business intelligence tools (e.g., Power BI or equivalent) is desirable
  • Ability to consolidate information from multiple sources, analyse data, and present clear, structured outputs for senior stakeholders
  • Excellent written and verbal communication skills in English and Greek; additional languages are considered an advantage
  • Strong organisational and time-management skills, with the ability to manage multiple priorities in a demanding executive environment
  • High level of integrity, discretion, and attention to detail
  • Ability to work collaboratively within a team-oriented and shared support environment
