By combining deep industry expertise, trusted partnerships, and a relentless focus on outcomes, OnebyZero empowers organizations to go beyond pilots and achieve lasting, scaled impact About the Role The Shared Services Manager – HR Ops & Travel plays a pivotal role in ensuring that OnebyZero’s Vietnam and global processes run smoothly and effectively, across travel, expense management and HR. This role is ideal for someone who can balance operational precision with strategic depth — ensuring compliance, managing a broad spectrum of support activities, and enabling the organization to build and retain top talent. What You'll Do & The Impact You'll Have A. Regional Travel & Expense Management Manage OnebyZero’s regional travel desk, including flight, hotel, and visa coordination. Manage the end-to-end global expense claims process, ensuring policy compliance and timely processing. Partner with Finance to ensure accurate expense accounting and reporting. Negotiate and manage relationships with travel vendors, agencies, and insurance providers. Manage vendor invoices Continuously improve travel and expense processes for efficiency and cost optimization. Provide executive travel support including complex itinerary planning and coordination. B. Vietnam HR & Payroll Support In partnership with Global HR & Finance Manager Support HR operations in Vietnam including onboarding, exits, confirmations, documentation, and contract renewals. Liaise with external vendors such as payroll providers, benefits partners, and legal advisors. Manage vendor invoices Provide day-to-day employee support and query resolution in Vietnam. C. Office & Employee Operations (Vietnam) Manage Vietnam office administration and vendor coordination. Coordinate employee engagement activities, team events, and gifting initiatives. Support logistics for leadership visits, internal meetings, and key company events. Assist in execution support for the OnebyZero regional events. D. Reporting, Compliance & Governance Monthly / Quarterly Generate and track travel and expense metrics. Produce monthly Vietnam operational expense reports (office, vendors, engagement spend). Review payroll inputs for completeness and accuracy. Flag risks and improvement opportunities proactively. Annual Support annual review and updates of OnebyZero Travel & Expense policies Assist in internal and external audits related to Vietnam operations. Support compliance reviews in line with Vietnam labour regulations. Assist in execution support for the OnebyZero Annual Kickoff and regional events. Requirements What You'll Bring to the Table Must-Have Skills: 7–9 years of experience in business analysis and solution design, with proven impact in AI/ML, data, or cloud-driven projects. 8–10 years of experience in shared services - HR operations, finance operations, Travel management roles. Prior experience in IT services, consulting, or fast-scaling environments preferred. Strong working knowledge of Vietnam labour and payroll practices. Demonstrated experience managing travel and expense processes. Experience working across multi-country setups (ASEAN/India preferred). Strong data accuracy, reporting, and operational discipline. Excellent stakeholder management and vendor negotiation skills. Highly organized, hands-on, and able to manage multiple priorities independently.
