The Fan Experience Administrative Assistant – Daytime Operations supports the Fan Experience/Guest Services team through day-to-day administrative, staffing, and event preparation activities. The role serves as a primary point of contact for Fan Operations staff and assists with staff communications, attendance tracking, event preparation, guest communications, wayfinding, accessibility accommodations, and service recovery. This position also supports staff check-in, uniform distribution and maintenance, staffing coordination, event documentation, and management’s administration of attendance and other SS&E policies. During events, the position may serve as a first-line resource at guest services kiosks/desks and assist guests via phone, email, or chat. The role requires strong organization, attention to detail, a hospitality mindset, and the ability to work effectively in both administrative and event environments.
What You’ll Do:
Support game-day and event logistics, including staff check-in, uniform distribution, and uniform laundry.
Maintain accurate and up-to-date staff rosters and attendance trackers. Serve as a key point of contact for staff callouts and late-arrival notices and respond promptly to staff phone calls and emails.
Assist management with the consistent administration of attendance and other SS&E policies and with documenting related occurrences.
Assist management with staffing events and the Prelim team and ensure timely communication regarding staffing needs and updates.
Coordinate event preparation using designated software and tools to complete required pre-event documentation. Ensure timely distribution of event sheets and clearly communicate relevant event information to staff.
Assemble event checklists, staffing sheets, maps, and guest services kiosk materials.
Prepare credentials, wristbands, signage, wayfinding aids, and assistive listening devices. Prepare for prearranged accessibility accommodations, such as wheelchair escorts and companion seating. Distribute game notes, including information regarding theme nights, promotions, VIPs, and building alerts, to appropriate stakeholders.
Staff guest services posts; answer guest questions; provide directions; and assist with mobile ticketing needs.
Enter accurate data using the appropriate categories and tags and assist with post-event summaries, including recurring issues and response times.
Maintain clean and organized staff check-in and break room areas, monitor applicable supplies and equipment, and report operational issues as needed.
Collaborate with Ticket Operations, Arena Operations, Security/EMS, Housekeeping, Game Presentation, Partnerships, and Community teams to resolve guest concerns efficiently.
Perform other duties as assigned.
Who You Are:
High school diploma or GED required; associates or bachelors in Hospitality, Sports Management, Communications, or related field preferred.
1-2 years' experience in customer service/event operations/hospitality; arena/stadium or large-venue experience is a plus
Proficient in Microsoft Office (Excel, Teams, Word, Publisher, and Outlook). Ability to operate event management software and tracking tools.
Excellent verbal and written communication skills. Professional, empathetic verbal tone; concise written updates; de-escalation and active listening.
Basic ADA guest-accommodation awareness; familiarity with arena policies, radio etiquette, and emergency basics.
Bilingual (e.g., Spanish/English) a plus.
Detail-oriented and highly organized.
Strong problem-solving abilities and adaptability.
Effective time management and multitasking skills.
Ability to work effectively in a fast-paced environment.
Must be able to work flexible schedules, daytime (10 a.m. to 3 p.m.), including evenings, weekends, holidays, and special events. This includes events in Austin at the Moody Center.

Vision/Hearing: Sufficient to read mobile tickets/signage and follow radio communications.
Adhere to all venue safety, emergency, and incident-reporting protocols.
