About the Role

The Community Outreach and Recruitment Assistant will be tasked with assisting the Recruitment Coordinator, HR Manager and Operations Manager attracting qualified candidates to fill vacancies within the Ottawa Safety Council’s Crossing Guard Program in Toronto (Etobicoke-West Zone), as well as administrative duties and events in preparation for the new school year in Sept 2026.

The incumbent will also utilize social media to do the above and provide administrative support to all of OSC’s programs as needed.

  • May – August 2024

  • $21 /hour

  • 35 hours/week (Mon- Fri).  Flexibility is required to meet program needs, including some evenings, nights, and weekends. 

  • Use social networking and social media, job boards, and public outreach (e.g. attend job fairs, community associations meetings, etc.) to advertise Crossing Guard opportunities

  • Screen, review and evaluate applicant qualifications or eligibility for recruiter, update candidate pipelines, and disqualified non-responsive candidates.

  • Schedule and conduct interviews of eligible applicants (phone, virtual, and in-person).

  • Follow up with applicants regarding references, PRCs (Police Record Checks), and confirmations.

  • Attend/table at various community events with the purpose of generating interest in the Crossing Guard position. 

  • Create and maintain recruitment notes for current and future candidates.

  • Contact references and track results.

  • Liaise with employment agencies for future recruitment opportunities and events.

  • Assist in preparing operational plans for summer school crossing locations.

  • Support scheduling efforts by confirming guard availability, assisting with shift coverage, and communicating updates.

  • Liaise with school administrators and program partners to support daily summer school operations.

  • Help coordinate guard assignments, documentation, and equipment needs.

  • Assist with maintaining accurate records of guard attendance, reporting issues, and other operational tasks.

  • Perform on-site tasks when needed, such as distributing equipment, meeting guards, or conducting pedestrian/traffic counts at assigned locations.

  • Handle and assist with document distribution and other administrative projects and responsibilities

  • Arrange and attend meetings as required

  • Perform basic data entry as required

  • Maintain & organize filing systems and contact lists

  • Produce and distribute correspondence, memos and letters

  • Assist with equipment inventory and maintenance

  • Conducting pedestrian counts at Guard locations

  • Tracked analytics and candidate sources in Recruitee.

  • Organized recruitment kits and event materials.

  • Draft documents (scripts, surveys, recruitment PowerPoint, postcard templates).
