We are seeking a proactive, organized, and collaborative Action Officer to support senior leadership within a fast-paced DHS front office environment. This role is ideal for a professional who thrives at the intersection of coordination, communication, strategic support, and operational execution.
The Action Officer will play a key role in helping leadership manage priorities, track initiatives, coordinate responses and deliverables, and facilitate communication across stakeholders. This individual will support front office operations by driving follow-through on taskers, supporting executive communications, assisting with planning efforts, and helping ensure leadership priorities are executed efficiently and effectively.
The ideal candidate is highly organized, adaptable, solutions-oriented, and comfortable operating in dynamic, high-visibility environments. Strong communication, collaboration, and relationship management skills are critical to success in this role.
Responsibilities
~2 min read- →Front Office Coordination & Strategic Support:
- →Coordinate and track leadership taskers, action items, deliverables, and suspense deadlines across multiple stakeholders
- →Support front office operations through proactive coordination, follow-through, and communication management
- →Assist leadership in prioritizing and managing competing operational and strategic demands
- →Support planning, execution, and follow-up activities for leadership meetings, working groups, and executive engagements
- →Develop and maintain tracking tools, status reports, and operational dashboards to support leadership visibility and decision-making
- →Help identify operational gaps and recommend process improvements to enhance front office efficiency
- →Communications & Executive Support
- →Draft, review, and coordinate executive-level communications, briefing materials, talking points, reports, and status updates
- →Coordinate responses to internal and external requests for information and leadership taskers
- →Prepare meeting materials, agendas, summaries, and executive read-aheads as needed
- →Ensure leadership communications and deliverables are accurate, timely, and professionally presented
- →Collaboration & Stakeholder Engagement
- →Serve as a key coordination point between leadership, staff, government stakeholders, and contractor teams
- →Build strong working relationships across teams to facilitate communication and mission execution
- →Support cross-functional collaboration efforts and assist in aligning teams around front office priorities
- →Communicate clearly and professionally in high-visibility and fast-paced environments
- →Special Projects & Operational Initiatives
- →Support strategic initiatives and special projects on behalf of front office leadership
- →Assist with researching, organizing, and synthesizing information to support decision-making and planning efforts
- →Contribute to operational improvement efforts and evolving front office priorities as needed
Requirements

- 3+ years of experience supporting executive operations, front office coordination, program management, or leadership support functions in a government or professional services environment
- Strong organizational, analytical, and coordination skills with exceptional attention to detail
- Excellent written and verbal communication skills
- Demonstrated ability to manage multiple priorities and work effectively in fast-paced environments
- Strong interpersonal skills and ability to collaborate across diverse stakeholder groups
- Proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Word, and Excel
- Ability to work onsite daily in a professional front office environment
- Active DHS suitability or ability to obtain/maintain required clearance/access
- Experience supporting DHS or other federal executive/front office environments
- Familiarity with task management processes, executive correspondence workflows, or front office operations
- Experience supporting executive communications, strategic planning efforts, or operational coordination initiatives
- Ability to exercise sound judgment, discretion, and professionalism in sensitive environment
