As PS Operations Manager at Rimes, based in Cyprus, you will be the operational backbone of our global Professional Services organization and a pioneer in how we embed AI-powered automation into PMO practice. This is a high-visibility role that blends strategic PMO governance with intelligent workflow design, team leadership, and data-driven decision support for PS leadership. This role reports directly to Global Head of Professional Services and works closely with PS Regional Leads, Delivery Directors, Finance, Sales Operations, and Business Applications.
You will own the end-to-end operating rhythm of the PS function: resource allocation, portfolio health reporting, compliance, and governance increasingly through AI agents and automated workflows that you design, manage, and continuously improve.This role is for someone who combines strong operational instincts with a genuine appetite for AI-powered ways of working — someone who doesn’t just use tools, but shapes how the team works with them.
Responsibilities
~1 min read- Act as the primary PMO point of escalation for PS Regional Leads, Delivery Directors, and Programme Managers.
- Drive continuous improvement of PMO processes, templates, and tooling across the PS portfolio.
- Lead the design and evolution of AI-assisted workflows across operational functions within PS - automating routine operational follow-ups while identifying new automation opportunities and driving adoption across the team.
- Configure, monitor, and iterate automated reminders and escalation workflows: for recurring compliance requirements (timesheets, milestone sign-offs, billing inputs, PM status updates).
- Partner with business application and technology teams: to expand automation coverage across the PS operating model.
- Maintain a real-time view of portfolio health across all PS programmes and projects, with AI-augmented RAG status, heatmaps, and risk reporting.
- Prepare and own governance reporting for the Back-to-Green, Monthly PS Operational Review, and executive SteerCo forums.
- Ensure quality, consistency, and timeliness of project status reporting across the portfolio, with automated data collection and AI-drafted narratives reviewed and signed off by you.
- Facilitate programme and project governance committees; ensure actions are captured, tracked, and closed — with automated follow-up workflows handling routine escalation.
- Partner with PS Regional Leads and Delivery Directors to maintain accurate, forward-looking resource demand in Kantata.
- Own weekly resource allocation review meetings across APAC, EMEA, and USCA regions, surfacing AI-generated conflict and capacity gap reports to inform decisions.
- Produce forecasted utilisation KPIs and scenario analysis to support both strategic and tactical resourcing decisions.
- Collaborate with Sales Operations to ensure pipeline-driven resource demand is captured proactively.
- Oversee automated monitoring of timesheet and system compliance across the global PS team, with agent-generated alerts and dashboards replacing manual checking.
- Own monthly utilisation reporting and ensure Finance receives accurate time-tracking data for billing cycles.
- Manage Kantata (PSA) as platform owner: drive adoption, data quality, and user capability across PS.
- Collaborate with Finance to produce monthly operational and financial KPIs, leveraging AI-assisted data compilation and commentary generation.
- Develop and maintain operational dashboards that give PS leadership on-demand visibility into portfolio, resource, and financial performance.
- Industry Knowledge: Solid grounding in Professional Services operations, PMO governance, and project portfolio management. Familiarity with PS commercial models (T&M, fixed-fee) and how operational data connects to financial outcomes.
- AI Proficiency: Demonstrated ability to work with AI tools and agent-based automation in a professional context — including configuring automated workflows, prompt engineering, and evaluating AI-generated outputs critically. Comfortable learning new AI tooling rapidly and translating that capability into practical process improvements.
- Operational Leadership: Experience managing or mentoring junior team members. Able to set standards, delegate effectively, and create an environment of accountability and continuous improvement.
- Tooling Expertise: Proficient in PSA platforms (Kantata or equivalent), Microsoft 365, and reporting tools. Hands-on Excel and PowerPoint skills. Experience with Jira, Tempo, Confluence, and Salesforce is advantageous.
- Stakeholder Management: Credible and confident with senior stakeholders. Able to run governance meetings, present performance data clearly, and influence without authority across regions and teams.
- Analytical & Detail-Oriented: Strong data literacy — able to interpret operational metrics, identify trends, and translate findings into actionable recommendations for leadership.
- Proactive & Autonomous: A self-starter who identifies problems before they escalate and drives solutions without waiting to be directed. Comfortable managing competing priorities in a fast-paced, global environment.
- 5+ years in a Professional Services operations, PMO, or service delivery operations role, ideally within a technology or financial services context.
- Experience with AI productivity tools and workflow automation (e.g., Microsoft Copilot, AI agents, Power Automate, or equivalent) — hands-on, not just awareness.
- Proven track record in portfolio/programme status reporting and governance support.
- Experience operating across multiple geographies and time zones.
- Strong written and verbal communication skills; able to produce clear, concise reporting for senior leadership.
- Experience with or strong aptitude for PSA/ERP systems (Kantata preferred).
