The HR Pre-Employment Screening Coordinator serves as the primary point of contact for candidates during the pre-employment screening process. This position is customer-service focused, proactively reaching out to candidates by phone, email, and text to ensure background check forms and drug testing requirements are completed accurately and on time. The Pre-Employment Screening Coordinator keeps the hiring process moving by following up on outstanding items, communicating status to hiring managers, and providing candidates with a responsive, professional point of contact throughout the screening process.
Responsibilities of Position:
- Serve as the primary point of contact for candidates throughout the pre-employment screening process
- Proactively contact candidates by phone, email, and text to ensure background check consent forms and required documentation are completed accurately and promptly
- Coordinate and confirm drug testing appointments, ensuring candidates understand testing locations, requirements, and deadlines
- For CDL and non-CDL driver candidates, complete FMCSA Clearinghouse pre-employment queries and pull motor vehicle records (MVRs), forwarding results requiring adjudication to the regional compliance staff
- Follow up with candidates who have not completed required forms or testing, escalating delays to hiring managers and regional compliance staff as needed
- Track and update candidate status in the applicant tracking and driver compliance software, providing timely eligibility updates to hiring managers
- Communicate professionally and courteously with candidates to explain pre-employment requirements and address questions or concerns
- Coordinate with third-party background check, MVR, and drug testing vendors to confirm receipt and status of results
- Maintain accurate, organized records of all candidate communications and outreach efforts, including Clearinghouse and MVR documentation
- Identify recurring delays or bottlenecks in the candidate screening process and report trends to the HR Compliance Manager
- Perform job duties in compliance with all local, state, and federal regulations — including DOT/FMCSA driver hiring requirements — and company policies
- Perform other duties as assigned
Supervisory Responsibility:
- This position will not manage employees
Skills & Abilities Needed for Position:
- Must possess a professional demeanor and excellent telephone etiquette
- Must be organized and detail-oriented with the ability to manage a high volume of outbound calls and follow-ups against time-sensitive deadlines
- Ability to work in a fast-paced environment while maintaining accurate, organized records
- Must work efficiently and effectively, both independently and as part of a team
- Must display a high level of initiative and follow-through to ensure timely completion of candidate requirements
- Effective verbal and written communication skills
- Ability to maintain and update candidate tracking spreadsheets and reports in Excel
- Maintain a high level of confidentiality with all candidate and employee information obtained within scope of employment
Experience & Knowledge Needed for Position:
- Computer proficiency in Outlook, Excel, Windows, and Microsoft applications
- Prior customer service, call center, or high-volume outbound phone experience preferred
- Previous experience with background checks, drug testing coordination, FMCSA Clearinghouse queries, or motor vehicle record (MVR) review a plus
- Working knowledge of DOT/FMCSR (Federal Motor Carrier Safety Regulations) driver hiring requirements preferred
- On-the-job training on background check and drug testing systems, driver compliance software, FMCSA Clearinghouse query procedures, MVR review procedures, and candidate communication procedures (provided)
Physical Requirements in a Regular Workday:
- Rarely lifting/carrying/pushing/pulling a max of 10 lbs
- Continuously working inside and office environment
- Continuously sitting; rarely standing/walking
Additional Working Conditions/Aspects:
- Ability to work flexible hours; expected to work nights and weekends as needed
- Legally eligible to work in the United States
- Valid driver’s license (if applicable)
- Must successfully complete pre-employment testing
- Must be able to read and speak the English language
