Town Dentistry Duluth is looking for an experienced, confident, and patient-centered Dental Office Manager to join our growing team.

Our next Office Manager will lead from the front, communicate clearly, hold themselves and others accountable, and understand that a successful dental practice requires both exceptional patient care and strong business operations.

You understand that a productive day starts with an intentional schedule. You know how to:

  • Identify opportunities within the schedule
  • Fill openings and minimize downtime
  • Manage cancellations and rescheduling
  • Keep the schedule moving efficiently
  • Create consistency and accountability around scheduling
  • Support a productive provider schedule

You understand that strong dental practices require strong business fundamentals. You should be comfortable with:

  • Budgets and financial performance
  • P&L statements
  • Production and collections
  • Expenses and labor
  • Office profitability
  • Key performance indicators (KPIs)
  • Identifying performance gaps and opportunities
  • Developing and implementing actionable plans to improve results

Key Responsibilities

  • Lead and develop the dental office team
  • Establish clear expectations, accountability, and consistency
  • Partner closely with the doctor to support clinical and business goals
  • Manage and optimize the daily schedule
  • Monitor office production, collections, expenses, and other key metrics
  • Review financial performance and identify opportunities for improvement
  • Help drive patient retention and an exceptional patient experience
  • Support team communication and daily morning huddles
  • Identify operational challenges and develop solutions
  • Help create a positive, productive, and growth-oriented office culture
  • Ensure the practice operates efficiently while maintaining high standards of patient care

Qualifications & Experience

  • Minimum 3 years of dental office or healthcare management experience preferred
  • Alternatively, 5 years of fast-paced retail and customer-focused management experience may be considered
  • Bachelor’s degree preferred, or equivalent relevant experience in dental office management
  • Experience with financial analysis is required, including exposure to P&L statements and office KPIs
  • Proficiency with Microsoft Office applications, including: Outlook, Teams, Word, Excel, and PowerPoint
  • Excellent organizational and leadership skills
  • Strong problem-solving abilities
  • Excellent interpersonal and communication skills
  • Ability to multitask and perform effectively in a fast-paced clinical environment

Work Environment & Schedule

  • Full-time position
  • Monday–Friday
  • Minimum 40 hours per week
  • Occasional evenings and/or weekends as needed
  • Fast-paced clinical environment requiring strong multitasking, organization, and attention to detail
