Founded in 2007, we have recorded and released over 80 sample libraries, including collaborations with the godfather of film scoring himself – Hans Zimmer. Created with the finest musicians, engineers and studios in the world, our sounds can be heard across globally successful movies, TV shows, computer games and albums. We are also breaking down the barriers to orchestral music-making by providing a wide range of free virtual instruments, all as part of our mission to inspire a generation of composers. 


THE ROLE: 

The Operations Manager, UK, supports the day-to-day running of Spitfire Audio’s UK operations, with a primary focus on workplace operations, operational coordination, and execution support.

This role is the on-the-ground owner of London workplace operations, ensuring day-to-day issues are handled. This role is responsible for ensuring the UK in-person working environment runs smoothly (including all office operations across managed, serviced, and technical office spaces), providing operational and administrative support to the Director, Operations, and maintaining high standards across workplace experience, logistics, and coordination.

This is a hands-on, execution-focused role suited to someone highly organised, proactive, and comfortable owning practical delivery.

 

Responsibilities

  • Act as the day-to-day operational owner for the UK office footprint, including serviced office environments, Spitfire’s Tileyard technical office, and our storage units.
  • Serve as the primary point of contact for rental matters, office providers, and building management.
  • Own daily “site readiness”: opening checks, meeting room readiness, stock levels, post/deliveries, basic troubleshooting, vendor arrivals
  • Own storage unit management, including inventory list, access, retrievals, and periodic audits
  • Proactively raise, track, and resolve workplace issues to minimise disruption.
  • Ensure office spaces are inspiring, on-brand, consistently well-presented, welcoming, functional, and ready for team use to the agreed standard
  • Manage office supplies, equipment, and general workplace standards, including stock in our lock-up, consumables and asset stock control (cables, adapters, peripherals, loan kits)
  • Track the monthly run-rate of workplace/ops costs and flag variances early
  • Keep a vendor renewals calendar and manage renewals process
  • Partner with IT to be the first-line IT triage for common issues (connectivity, peripherals, meeting room A/V, printers, etc.)
  • Coordinate desk bookings, desk set-ups, meeting room usage, access passes, and visitor arrangements.
  • Support Health & Safety administration and ensure required checks and actions are completed
  • Coordinate maintenance requests, repairs, and vendor visits.
  • Provide operational and administrative support to the Director, Operations, including tracking actions and deadlines.
  • Maintain the UK ops tracker (actions, owners, due dates) and own operational tracking across recurring activities (office renewals, vendor schedules, equipment, supplies, and key dates).
  • Create, maintain, and signpost clear documentation for office processes and workplace “how-to” guides.
  • Collaborate with People & Culture and IT teams to coordinate UK operational logistics across teams, including onboarding and leaver logistics, equipment returns, and access changes.
  • Act as a point of coordination for cross-functional operational requests, ensuring follow-through and closure.
  • Collaborate with the Director, Operations, to deliver a calendar of agreed UK in-person moments (office events, monthly socials, quarterly all-hands logistics, seasonal events), including:
    • Quarterly all-hands logistics and venue coordination
    • Meeting room bookings
    • Catering and refreshments
    • Event set-up and pack-down
    • Attendee communications and practical information
  • Coordinate key UK operational vendors (office providers, suppliers, couriers, catering, cleaning, equipment services).
  • Raise purchase requests and track invoices in line with Finance processes and systems
  • Maintain visibility over operational spend and support cost control and value-for-money.
  • Maintain records of contracts, renewal dates, and service arrangements in line with Legal processes and systems
  • Support the People team with onboarding logistics (desk/equipment set-up, office introductions, practical readiness).
  • Partner with IT and the People team on joiner/leaver physical checklist ownership (laptops returned, passes recovered, access requests logged with IT) 
  • Support the People team with offboarding logistics (equipment return, access removal coordination).
  • Maintain employee-facing workspace documentation (Notion, UK handbook updates).
  • Support the Director, Operations, in scheduling and coordinating people-related processes as required.

*This role does not handle employee relations, People Operations policy interpretation, or people decision-making.

  • Proven experience in an operations, workplace, office, coordination, or similar execution-focused role.
  • Familiarity with Health & Safety or workplace compliance.
  • Strong organisational skills and reliable follow-through across multiple workstreams.
  • Proactive, solution-oriented mindset with good judgement.
  • Confident communicator; discreet and professional.
  • Comfortable working in a fast-moving, changeable environment.
  • High attention to detail and pride in quality.
  • Willingness to be in-person 3-4 days per week and hands-on when required.
  • Experience supporting internal events or in-person team moments.
