SUMMARY
The Human Resources Generalist supports the daily operations of the Human Resources Office and assists in administering core HR functions across the employee lifecycle from recruitment through onboarding and ongoing employment. This position is a point of contact for faculty, staff, students, and visitors, ensuring efficient HR processes, responsive service, and a welcoming office environment. The role supports compliance with federal and state regulations while advancing the University's mission and values.
ESSENTIAL DUTIES AND RESPONSIBILITIES
TALENT ACQUISITION AND ONBOARDING
The HR Generalist supports student recruitment activities by posting job openings and assisting hiring managers throughout the hiring process. This role facilitates pre-employment processes such as background checks and onboarding, ensuring a smooth and welcoming transition for new student employees.
HR OPERATIONS AND ADMINISTRATIVE SUPPORT
The HR Generalist provides general administrative support to Human Resources. This includes greeting visitors, faculty, staff, students, and applicants, in a professional and welcoming manner. This role assists in answering and screening incoming calls, responding to general inquiries, and managing the HR department's email inbox, ensuring timely and accurate communication or routing of requests to appropriate staff. This role contributes to the efficient operation of HR services and supports departmental initiatives including managing correspondence, preparing reports, and assisting with special projects.
EMPLOYEE RECORDS AND HRIS ADMINISTRATION
The HR Generalist maintains accurate and up-to-date employee records, both electronic and physical, ensuring confidentiality and compliance with applicable regulations. This role assists with data entry and maintenance in the HRIS, supports reporting needs, and ensures proper documentation of employment actions.
EMPLOYEE RELATIONS AND SUPPORT
The HR Generalist serves as a resource for employee and student worker inquiries related to HR policies, procedures, and programs. This position provides administrative support in employee relations matters, including performance management processes and documentation, escalating complex issues to HR leadership as appropriate.
TRAINING AND PROFESSIONAL DEVELOPMENT SUPPORT
The HR Generalist assists in coordinating training sessions and professional development programs for faculty, staff, and student employees. Responsibilities include scheduling sessions, tracking attendance, and supporting the delivery of learning initiatives aligned with institutional goals.
PROFESSIONAL AND QUALITY CUSTOMER SERVICE
The HR Generalist demonstrates professionalism and provides quality customer service in accordance with UST's values; maintains positive working relationships; ensures confidentiality; communicates effectively; maintains accurate records; and supports a safe and organized work environment. The position requires flexibility, attention to detail, and a willingness to learn and adapt to changing needs.
QUALIFICATIONS, EXPERIENCE, SKILLS
- A bachelor's degree in human resources, business administration, or a related field preferred
- Minimum of three (3) years of professional experience in human resources or a related field required
- Experience in higher education preferred
- Familiarity with HRIS systems; ADP Workforce Now experience preferred
- Basic knowledge of employment laws and HR practices
- Proficiency in Microsoft Office products
- Strong organizational skills with attention to detail and accuracy
- Excellent interpersonal and communication skills, with the ability to interact effectively with faculty, staff, students, and visitors
- Ability to handle sensitive and confidential information with discretion
- Due to the need for visibility on campus and engagement with the university community, this position is expected to work on-site during UST's regular business hours: 8:30 AM to 5:30 PM, Monday – Friday
