The Stop Community Food Centre’s mission is to increase access to healthy food in a manner that maintains dignity, builds community, and challenges inequality. From its origins 40+ years ago as one of Canada's first food banks, The Stop has since grown into a vibrant community centre that uses food as a gateway to addressing many issues, including poverty, the environment, social isolation, and health in one of Toronto’s lowest-income neighbourhoods. The Stop is accredited by Imagine Canada for excellence in non-profit accountability, transparency, and governance.
THE OPPORTUNITY:
We are looking for a candidate to coordinate administrative, outreach, and logistical supports across The Stop’s Farmers’ Market, Community Garden and Green Barn programs, and Green Barn venue rentals. The Events & Outreach Coordinator plays a key coordination role, working with vendors, community members, advisory groups, and internal and external partners to ensure programs, events, and rentals run smoothly. This role focuses on streamlining operations and logistics, strengthening communication, and supporting accountability to ensure high-quality, consistent, and well-coordinated program delivery. The Events & Outreach Coordinator will work under the supervision of the Green Barn Manager and/or Green Barn Supervisor.
DUTIES & RESPONSIBILITIES:
Farmers’ Market & Vendor Coordination
- Coordinate administrative and logistical supports for The Stop’s Farmers’ Market.
- Coordinate outreach to current and potential vendors and respond to vendor inquiries.
- Facilitate vendor communications, including schedules, requirements, deadlines, and operational updates.
- Maintain accurate vendor records, including insurance documentation and compliance with market policies.
- Coordinate administrative support for the Vendor Advisory Committee, including meeting scheduling, agenda preparation, note-taking, and follow-up.
- Coordinate with internal teams to ensure smooth and accountable market operations aligned with program goals.
- Provide on-site coordination support for the Farmers’ Market as required, including regular Saturday work.
Outreach & Community Engagement
- Coordinate outreach to community members, partners, and stakeholders related to the Farmers’ Market, Community Garden and Green Barn programs, events, and Green Barn venue rentals.
- Support the promotion of programs, events, and rentals (e.g., outreach materials, newsletters, social media content).
- Maintain clear, timely, and collaborative communication with staff, vendors, community partners, and external stakeholders.
Community Garden, Green Barn Program & Venue Rental Support
- Coordinate administrative and logistical support for Community Garden and Green Barn programs, including scheduling, documentation, communications, and logistics.
- Coordinate Green Barn venue rentals, including responding to inquiries, managing bookings, confirming logistics, and maintaining rental records.
- Liaise with Parks Supervisors, building operators, and other site contacts to support smooth program delivery, events, and venue rentals.
- Coordinate access, scheduling, and logistics related to shared Green Barn, garden, and outdoor spaces.
- Support operational planning to ensure programs and rentals are delivered consistently and in alignment with organizational policies and standards.
Event & Program Assistance
- Coordinate logistical support for events, workshops, and community activities connected to the Farmers’ Market, Community Garden and Green Barn programs, and Green Barn venue rentals.
- Support on-site logistics for events and rentals as required.
- Coordinate with internal teams and external partners involved in event and program delivery at the Green Barn
Administration & Reporting
- Maintain accurate administrative records, schedules, contact lists, and program documentation.
- Coordinate data tracking, reporting, and evaluation related to programs, events, vendor participation, and venue rentals.
- Maintain documentation and record-keeping practices that support operational accountability, risk management, and policy compliance.
- Contribute to streamlining administrative systems, workflows, and logistical processes to improve operational efficiency.
- Participate in regular 1-1 meetings, team meetings, staff meetings, and planning sessions.
- Ensure work aligns with The Stop’s policies, including Anti-Racism, Anti-Oppression, Health & Safety, and Environmental Policies.
- Other duties as assigned.
QUALIFICATIONS:
Required
- 3–5 years of experience in an administrative, coordination, events, or community outreach role.
- Demonstrated experience coordinating logistics, schedules, communications, records, or bookings in a multi-stakeholder environment.
- Experience providing administrative support to committees, advisory groups, or working groups.
- Strong organizational skills with attention to detail, documentation, and follow-through.
- Strong written and verbal communication skills.
- Demonstrated ability to work within a diverse community (people of different ages, abilities, and cultural backgrounds).
- Commitment to food justice, equity, and community-centred work.
- Proficiency with basic office software (e.g., Microsoft Office, shared drives, email).
- Availability to work Saturdays is required; some additional evening or weekend availability may be required.
Education
- Diploma or degree in Community Development, Event Management, Nonprofit Management, Public Administration, Communications, Social Services, or a related field
OR an equivalent combination of education and relevant experience.
Assets
- Experience working with Farmers’ Markets, food systems, or community food programs.
- Experience maintaining records related to insurance, policies, or compliance.
- Experience coordinating venue rentals or working in shared public or community spaces.
- Familiarity with parks, community facilities, or municipal partners.
- Experience improving administrative systems or workflows.
- Ability to speak a language relevant to the community.
