Responsibilities:

  • The Facility Manager is a diverse role that will encompass the client facility while providing office management.
  • Report Facility issues to Management while acting as liaison with building management to ensure office is fully
    functional.
  • Perform a daily facility walk through while concentrating on carpets, flooring, walls, lighting and ceiling tile repairs
    throughout floors. The site should always appear clean, safe and well maintained.
  • PayPal Vendor Management - to include Vendor onboarding, Contract negotiations and Contract creating (MSA and
    SOW), Supply ordering (Snacks, office supplies, etc)
  • Budget tracking to include PO creation and management (approvals) and accruals, Company credit card
    management (concur expenses)
  • POC for construction projects
  • LEMT participation
  • Ensure meeting rooms have appropriate supplies and check regularly to ensure the room is in functioning order.
  • Collect data for reports and assist in the preparation of monthly reports
  • Ensure supplies for kitchens and break rooms are stocked and areas are clean
  • Carry out and research requests with little direction and presents findings in a timely manner.
  • Maintains flexibility with work hours.
  • Utilizes knowledge of company culture, operations, policies, procedures in performing duties with minimal direction/supervision.
    - Manage all Mailroom operations for the Chicago site
    - Supervise the mailroom coordinator
    - Ensure all received mail is sorted and delivered while meeting client and TMG SLA and SOP
    - Ensure all accountable and packages are delivered in accordance with site Service Level Agreement.
    - Receive deliveries and organize deliveries as requested by team members.
  • Assist in overall operation of facility
    - Reading, understanding and adhering to the lease
    - Project management of various projects for the client
    - Perform duties and special requests as assigned by management.

Qualifications:

  • Possess a minimum of 5-7 years office services/office management experience.
  • Bachelors degree or equivalent work experience.
  • Facility certifications preferred
  • Ability to handle multiple projects at one time.
  • Work well with others and as a team player with strong customer focus skills.
  • Assertive and resourceful; self motivated; willing to ask questions and take initiative
  • Possesses good communication skills and be able to establish effective working relationships with many different people, ranging from managers, supervisors, and professionals, to clerks, clients and service workers.
  • Ability to deal with problems involving several variables.
  • Possess knowledge of computers and related software.
  • Possess working knowledge of postal regulations.
  • Ability to carry out assigned tasks and projects to their completion.
  • Ability to identify and solve routine problems as they occur.
  • Ability to work as a member of a team with other departments.
  • Must be customer focused and display a professional demeanor.
