JOB DESCRIPTION:



The Facilities and Vendor Coordinator supports Toronto Blue Jays Florida Operations by coordinating vendors, administering work orders, tracking operational activity, and providing project coordination support across TD Ballpark and the Player Development Complex. This role serves as a key liaison between internal teams and external service providers to ensure facilities services are delivered efficiently, consistently, and in compliance with organizational standards.


The Facilities and Vendor Coordinator plays an important role in maintaining accurate records, supporting vendor performance, and providing reporting and administrative support that informs operational planning, budgeting, and decision-making. This position works closely under the Sr Manager, Facilities Management, and partners across multiple departments to support day‑to‑day operations, events, and projects.


Key Responsibilities



Vendor Coordination and Oversight

  • Serve as a point of contact for assigned facilities vendors, managing scheduling, invoicing, and billing questions.
  • Maintain accurate vendor records, contracts, compliance documentation, and certifications,
  • Work with Business/Facility leaders to monitor vendor performance to ensure services align with scope, timelines, safety standards, and organizational expectations.


Work Order Administration and Reporting

  • Input, manage, and track work orders related to Facilities Maintenance and Mechanical needs.
  • Work with the team to understand work order progress, confirm completion, and update the system in a timely manner.
  • Generate routine and ad hoc reports related to work order status, vendor performance, and operational trends.
  • Support leadership with data and reporting to inform operational planning, prioritization, and budget discussions.


Procurement and Administrative Support

  • Coordinate facilities team ordering and assist in identifying appropriate vendors for goods and services.
  • Support vendor selection by gathering pricing, availability, and service information.
  • Review vendor invoices for accuracy and alignment with approved work and contractual terms.
  • Provide administrative support to facilities, finance, business ops, and grounds teams related to vendor and work order activity.


Logistics and Scheduling Coordination

  • Schedule and coordinate vendor site visits across Florida Operations facilities.
  • Manage on-site logistics, including access requirements, load-in and load-out coordination, and required documentation.
  • Ensure vendor activity aligns with facility schedules, events, and operational priorities. 


Project Management Support

  • Provide project coordination support for the Sr Managers in Facilities, including select capital and operational projects.
  • Assist with project scheduling, vendor coordination, documentation, and progress tracking.
  • Support project reporting to ensure initiatives remain aligned with approved scope, timelines, and objectives.


Required Qualifications

  • One to three years of experience in vendor coordination, procurement, facilities operations, logistics, or a related field.
  • Strong organizational, communication, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced, team-oriented environment.
  • Proficiency in, or the ability to quickly learn, work order systems, procurement platforms, and basic project management tools.
  • A thirst for learning and making a difference in the place you work.
  • Experience supporting facilities, venue, or event-driven operations.



Education

  • Bachelor’s degree in Business Administration, Facilities or Sports Management, or a related field preferred in Supply Chain Management
  • Equivalent professional experience may be considered.
