About the Role

  • Coordinate onboarding and offboarding for full-time, temporary, seasonal, and freelance employees, creating an organized and welcoming employee experience.
  • Help strengthen and standardize onboarding processes, documentation, checklists, templates, and employee communications so they can scale effectively across our year-round and seasonal workforce.
  • Prepare letters, employment agreements, and other standard employee documentation using approved templates and confirmed hiring terms, ensuring accuracy and timely completion.
  • Facilitate new hire orientations and coordinate technology, system access, workspace, documentation, and other first-day needs with internal teams.
  • Complete and track Form I-9s, required employment documentation, policy acknowledgements, and compliance training.
  • Maintain organized, accurate, and confidential employee records and help ensure required documentation is consistently collected and retained.
  • Process employee changes, including promotions, transfers, compensation changes, organizational updates, and terminations.
  • Respond to day-to-day employee and manager HR questions, escalating more complex matters as appropriate.
  • Partner closely with Payroll & Benefits to ensure employee information, timekeeping, and other HR data are accurate and complete.
  • Help document HR procedures and create repeatable processes that improve consistency and efficiency.
HRIS & Workday Transition
  • Serve as a member of the internal HR team supporting Tribeca’s transition to Workday, working in partnership with our external implementation vendor.
  • Help prepare, clean, audit, and validate employee data in advance of migration.
  • Participate in system and user-acceptance testing and help identify issues from an HR and employee-experience perspective.
  • Assist with documenting new Workday processes and workflows and translating them into practical resources for employees and managers.
  • Help develop employee communications, training materials, job aids, and other resources supporting the Workday rollout.
  • Support HR data integrity, reporting, and ongoing HRIS administration.
  • Identify opportunities to simplify and improve HR processes as we transition to the new system.
Recruiting & Seasonal Workforce
  • Support recruiting activities, including job postings, interview coordination, candidate communications, background checks, and pre-employment requirements.
  • Play an active role in coordinating the high-volume hiring and onboarding of Tribeca’s seasonal workforce in preparation for the annual Tribeca Festival.
  • Coordinate seasonal orientation sessions and track completion of employment documentation, onboarding activities, and compliance requirements.
  • Partner with hiring managers to ensure seasonal employees are fully onboarded and ready to work.
  • Support post-Festival offboarding and help maintain accurate records for returning seasonal employees.
HR Programs, Employee Experience & Communications
  • Help coordinate employee engagement programs, learning sessions, company events, recognition initiatives, and other employee experiences.
  • Support performance management, goal setting, compensation, job descriptions, policy updates, and other annual HR initiatives.
  • Create and maintain HR resources, process guides, templates, presentations, training materials, and employee communications.
  • Develop and update organizational charts, workforce materials, PowerPoint presentations, spreadsheets, trackers, and other visual HR communications for employees, managers, and leadership.
  • Support Open Enrollment and other HR programs through employee communications, meeting coordination, and resource development.
  • Assist with HR metrics, reporting, workforce planning, and organizational projects.
WHAT YOU BRING
  • Approximately 2–4 years of Human Resources or People Operations experience, ideally in a hands-on HR generalist, coordinator, or specialist role.
  • Direct experience coordinating employee onboarding and maintaining accurate employee records and documentation.
  • Strong organizational and project-management skills with exceptional attention to detail and follow-through.
  • Strong, practical proficiency with Microsoft Office and Google Workspace. You should be comfortable jumping into an existing PowerPoint deck to update and polish it for a meeting, revising an organizational chart as teams or roles change, and creating and maintaining Excel or Google Sheets trackers and spreadsheets.
  • Comfort working with HR systems, employee data, reporting, and process documentation.
  • Ability to create clear, professional HR materials—including presentations, organizational charts, process guides, employee communications, and training materials—with limited direction.
  • Strong written and verbal communication skills and an eye for accuracy and presentation.
  • Ability to manage multiple priorities independently, respond to time-sensitive requests, and shift gears as business needs change.
  • Sound judgment and discretion when handling confidential employee information.
  • A collaborative, service-oriented approach and comfort working with employees and leaders at all levels.
  • Curiosity, initiative, and a willingness to solve problems and take ownership.
NICE TO HAVE
  • Hands-on experience using Workday as an HR practitioner, particularly for employee data, onboarding, reporting, or other core HR processes.
  • Experience participating on the internal HR side of an HRIS implementation, migration, or system upgrade.
  • Familiarity with payroll, timekeeping, benefits, or HR reporting.
  • Experience supporting a seasonal, hourly, contingent, or high-volume workforce.
  • Experience in media, entertainment, live events, hospitality, or another fast-moving environment.
