Job Summary:
We're a robotics company, and our office reflects it — a mix of industrial workspace, robot demonstration areas, conference rooms, and a common space café, all under one roof. As we've grown into a team of 30–100 people, keeping this environment running smoothly has become its own full-time job.

We're looking for a Workplace & Admin Manager who can own both sides of that equation: the physical space and the operational backbone that supports the people in it. That means pulling permits and reconfiguring the demo floor, and it also means coordinating onboarding, supporting executive schedules, tracking budgets, and keeping the kitchen stocked. You move fluidly between the two — because at a company our size, the person who runs the office and the person who supports the team are the same person.

No task is too small, and no challenge is too complex. If it has to do with the physical office or keeping operations running, it's yours.

  • Comfortable operating across the full spectrum — from stocking the café to reconfiguring an industrial demo floor to managing an exec's travel calendar — without losing energy at either end.
  • Hands-on by nature; you do the work yourself first before thinking about delegating it.
  • Experience in facilities, office operations, or workplace/admin management in a hands-on capacity; experience in mixed-use or industrial spaces is a plus.
  • Enough familiarity with contractors, building codes, and permitting to navigate them confidently.
  • Strong organizational instincts — you build systems, track details, and follow through without being reminded.
  • Comfortable managing vendor relationships and contracts, and holding outside partners accountable.
  • Polished and discreet when supporting executives; you understand what high-quality admin support looks like.
  • Comfortable working alongside and around interesting, complex, and sometimes large equipment.
  • Self-directed and highly resourceful; you figure things out.
  • Believes that our space is a reflection of who we are — and holds it to that standard. We strive for excellence, and that starts with the environment we work in.
  • Audit the current space and develop a plan to get it fully organized and functional across all areas — industrial, demo, office, and café.
  • Handle the day-to-day yourself — organizing common areas, stocking and labeling the kitchen, keeping the kitchen clean and organized, hanging artwork and signage, moving equipment, fixing what's broken.
  • Own daily package monitoring, mail pickup, and receiving — making sure deliveries are tracked, sorted, and routed to the right people.
  • Manage the trash and recycling situation across a mixed-use space, including coordinating any special disposal needs for industrial areas.
  • Coordinate weekly lunch ordering for the organization.
  • Coordinate and manage vendors for work requiring outside help: security, electrical, and general contractors.
  • Navigate building requirements and maintenance work orders, including being the main point of contact with building management.
  • Make and execute strategic decisions about space utilization — how we configure, use, and evolve the space as the company and its technology grows.
  • Build systems and routines so the space stays functional, safe, and organized over time.
  • Partner with the People team on the onboarding experience for new hires — coordinating IT setup, access badges, desk assignments, and making sure day one feels organized and welcoming.
  • Manage office supply procurement and maintain visibility into operational spend; track budgets and flag variances proactively.
  • Own vendor relationships end-to-end: sourcing, contracts, invoicing, and ongoing accountability.
  • Manage the reception and front-of-house experience — keeping it functional and ensuring visitors are handled smoothly.
  • Handle daily employee requests — fielding, triaging, and resolving the steady stream of asks that keep an office running.
  • Support executive and team calendaring and travel logistics — booking, coordinating, and managing changes with minimal friction.
  • Serve as the connective tissue between the physical office, the ops function, and the people who rely on both.
