Essential Duties and Responsibilities
The Contract Ops Specialist III plays a key role in supporting UKG's recurring revenue operations through the accurate and timely administration of Subscription and Maintenance contracts. This role is responsible for executing contract renewals/invoicing‑related activities, ensuring precision in service contract billing, quoting support, and maintenance of customer entitlements.
With a strong focus on operational accuracy and process adherence, the Contract Renewal Specialist III processes renewal transactions efficiently and in accordance with established policies and timelines. Through consistent attention to detail and dependable execution, this role supports monthly revenue recognition, invoice scheduling, and contract integrity--helping ensure reliable financial outcomes and a positive customer experience.
Key responsibilities include, but are not limited to:
Contract Processing:
* Consistently execute Subscription and Maintenance contract renewals with precision, supporting timely invoicing and accurate monthly revenue recognition.
* Work closely with Customer Renewal Reps / Account Managers to ensure renewal is quoted in a timely. Provide contract history and terms to allow for smooth customer negotiations. Ensure the system accurately reflects a customer's products/contract status
* Ensure timely processing of all finalized renewal packages. Ensuring all negotiated renewals are within company policy and all applicable approvals have been captured. The Contract Renewal Specialist will finalize the Renewal contract for the upcoming period and submit for invoicing.
* Draft and review contract language to ensure clarity and enforceability
* Prepare customer budgets upon request
* Conduct agreement research to support contract interpretation and compliance
* Manage contract opportunities' actual and forecasted ARR to ensure accurate calculation of contract churn
* Uphold the integrity of Service Contracts by ensuring they accurately reflect proper customer entitlements, thereby enhancing client satisfaction and trust
* Play a crucial role in month-end close activities, meticulously ensuring that all financial transactions are completed accurate and timely, contributing to a seamless and transparent financial reporting process
* Swiftly process completed renewals and contract amendments, ensuring that contracts are a true reflection of the customer's current contracted products, pricing, sales credits, and billing frequency, thereby optimizing revenue flow and client relations
Account Management:
* Manage contract terminations and account reconciliations for assigned accounts in a timely manner, ensuring compliance with company policies and customer agreements
* Maintain comprehensive customer account records across various systems, ensuring all renewals, contract amendments, credits, and invoices are accurately processed and documented
Cross-Functional Collaboration:
* Collaborate closely with cross-functional departments, including Customer Renewals, Sales, Finance, and Customer Support, to ensure that information within Salesforce Contracts, Microsoft Dynamics, and other operational systems is updated accurately and promptly
* Address incoming and outgoing inquiries from internal and external customers while partnering with internal departments regarding Billing and Contract issues, coordinating with relevant parties to achieve final resolutions
* Dispute Resolution:
* Ensure all monthly contract activities are processed accurately and efficiently to support revenue recognition, invoicing, and account reconciliation
* Resolve invoice disputes from both internal and external parties in a timely manner

* Thoroughness: Attention to detail, ensuring that all work is complete and accurate; preparation for meetings; and diligent follow-up to ensure commitments are fulfilled

* Time Management: Ability to manage multiple priorities and meet deadlines in a dynamic work environment
* Interpersonal Skills: Strong communication and interpersonal skills, with the ability to interact effectively across various departments, including Billing, Credits, Accounts Receivable, Sales/Sales Ops, Legal, and Customer Support
Qualifications
* 2+ years of post-secondary education or relevant work experience in a sales or customer service environment.
* Education: Bachelor's degree in business administration, Finance, or a related field, or equivalent business experience
* Technical Skills: Proficiency in computer software, including Salesforce/CPQ, Oracle, Microsoft Dynamics, and Microsoft Office Suite
* Familiarity with subscription cycles and renewals environment
* Excel Expertise: Strong experience in Microsoft Excel, including advanced functions such as VLOOKUP and PivotTables
* Fluency in English with excellent written and verbal communication skills, with the ability to convey complex information clearly and concisely
* Customer Service: Excellent customer service skills, with a high level of interpersonal skills to respond calmly and make rational decisions in stressful situations
* Ability to multi-task in a fast-paced and dynamic environment.
