The Commercial Travel Office (CTO) Specialist provides official travel validation, entitlement determination, quality assurance, and coordination support to Service Members, Department of Defense (DoD) civilians, and other authorized travelers throughout the ASG-Jordan Area of Operations. The CTO Specialist reviews official travel documentation prior to ticket issuance, validates traveler entitlements, supports Defense Travel System (DTS) and Government cost documentation, and coordinates with travelers, commands, and the designated Travel Management Company (TMC) to ensure official travel is processed accurately, efficiently, and in accordance with the Joint Travel Regulations (JTR), Fly America Act, and applicable DoD travel policies.
Responsibilities
~2 min read- →Review and validate official travel packets prior to ticket purchase or issuance to ensure proper authorization, complete documentation, and compliance with applicable travel requirements.
- →Determine and validate traveler entitlements and allowances in accordance with the Joint Travel Regulations (JTR) and applicable DoD travel policies.
- →Counsel Service Members, DoD civilians, and other authorized travelers regarding official travel entitlements, allowances, documentation, and travel requirements.
- →Review and verify documentation supporting Permanent Change of Station (PCS), Temporary Duty (TDY), Emergency Leave, Consecutive Overseas Tour (COT) Leave, and other authorized official travel.
- →Prepare, review, and validate Government Cost Worksheets (GCWs) and related travel cost documentation.
- →Review Defense Travel System (DTS) authorizations and associated travel documentation for accuracy, completeness, and compliance.
- →Support travel requirements involving Centrally Billed Accounts (CBA) and Individually Billed Accounts (IBA), as applicable.
- →Coordinate with travelers, supported commands, Government representatives, the designated Travel Management Company (TMC), airlines, and other travel stakeholders to facilitate official travel.
- →Provide the validation and quality-control functions necessary for the TMC or other authorized ticketing provider to complete commercial travel arrangements.
- →Research and validate cost-effective travel solutions that meet mission requirements and applicable Government travel policy.
- →Ensure official travel complies with the Fly America Act, JTR, and other applicable DoD and Government travel policies.
- →Support short-notice, mission-critical, and emergency travel requirements and coordinate with the appropriate TMC or travel provider when itinerary changes, delays, cancellations, or other disruptions occur.
- →Track travel actions and coordinate resolution of incomplete documentation, authorization issues, entitlement questions, or other matters that could delay official travel.
- →Maintain accurate travel records and supporting documentation in accordance with contract, Government, audit, and records-management requirements.
- →Safeguard traveler Personally Identifiable Information (PII), payment information, and other sensitive information.
- →Provide professional, responsive customer service to Service Members, DoD civilians, authorized travelers, and supported organizations throughout the ASG-Jordan Area of Operations.
- →Maintain awareness of changes to the JTR, DTS procedures, DoD travel policy, Fly America requirements, and other guidance affecting official travel.
- →Perform other CTO and official travel support functions consistent with ASG-J mission requirements.
- High school diploma or equivalent.
- Minimum three years of experience supporting Government, military, corporate, commercial, or other complex travel operations, including reviewing, coordinating, or processing official or business travel requirements.
- Knowledge of DoD official travel processes and the relationship between the traveler, supported command, CTO, DTS, TMC, and other travel stakeholders.
- Working knowledge of travel authorization, reservation, itinerary, fare, and ticketing processes sufficient to validate travel requirements and coordinate effectively with a TMC or ticketing provider.
- Ability to independently review detailed travel packets and supporting documentation for completeness, accuracy, consistency, and compliance before ticketing.
- Ability to interpret and apply travel policies, procedures, entitlement requirements, and regulatory guidance with strong attention to detail and quality assurance.
- Ability to explain travel entitlements, documentation requirements, and policy requirements clearly to travelers and supported organizations.
- Ability to manage and prioritize multiple routine, short-notice, emergency, time-sensitive, and mission-critical travel requirements in an operational environment.
- Ability to work effectively with military, civilian, contractor, Government, and commercial travel personnel.
- Ability to maintain confidentiality and appropriately handle sensitive traveler information.
- Strong customer service, communication, problem-solving, and organizational skills.
- Proficiency with Microsoft Office applications and standard business systems.
- Ability to meet and sustain all applicable medical, deployment, and theater-entry requirements for Jordan.
- Successful results of preemployment screenings, including federal background check, MVR, and drug screen.
- Comply with the company's drug and alcohol policy.
Requirements
~2 min read- Previous experience supporting a DoD Commercial Travel Office (CTO), military Passenger Travel Office, Travel Management Company (TMC), SATO/CWTSatoTravel, or other Government travel program.
- Experience with the Defense Travel System (DTS), including review of travel authorizations and supporting documentation.
- Working knowledge of the Joint Travel Regulations (JTR), Defense Travel Management Office (DTMO) policies, Fly America Act, and other Federal or DoD travel requirements.
- Experience determining or validating travel entitlements and allowances for military or DoD civilian travelers.
- Experience supporting PCS, TDY, Emergency Leave, COT Leave, and other official military travel.
- Experience preparing or validating Government Cost Worksheets (GCWs).
- Experience with Centrally Billed Accounts (CBA) and Individually Billed Accounts (IBA).
- Experience coordinating with a TMC, commercial airlines, and other travel service providers.
- Experience with a Global Distribution System (GDS), such as Sabre, Amadeus, Apollo, or equivalent.
- Experience supporting deployed, OCONUS, CENTCOM, or other military operations.
- Prior experience supporting operations in Jordan or the Middle East.
ASG-J has not yet specified a formal clearance level or certification baseline for this position. Because the validated scope includes NIPR/SIPR and C2 support, initial recruiting should target candidates who currently possess, or are eligible to obtain and maintain, at least a Secret clearance and who can satisfy applicable DoD cybersecurity workforce requirements. Final clearance, certification, privileged-access, and system-access requirements will be aligned to the executed contract modification.
This position is anticipated to be full-time and on-site in Jordan, Monday through Friday, eight hours per day. The employee must satisfy applicable U.S. Government, host-nation, installation-access, medical, credentialing, deployment, and theater-entry requirements associated with performance in Jordan.
