Working in the Communications Unit, you will provide administrative support primarily to the Events Team and the different teams across the unit.
You will be involved in a broad range of activities supporting Corporate events and general unit administrative and financial duties.
You will also work closely with the other Communications Unit administrative posts, providing cover and support as required.
The role will involve planning and managing your workload to ensure that tasks are prioritised and managed in a timely manner. The Communications Unit is a busy, fast-paced environment, which provides a vital service to the rest of the organisation.
Responsibilities
~2 min read- →Provide administrative support to the Events team including: maintaining and updating of contact lists to ensure data is current, issuing invitations and managing replies.
- →Provide admin support for online events pre, during and post events such as setting up appointments, running breakout groups supporting people to run PowerPoints.
- →Manage requests for use of NatureScot banners and materials.
- →General financial administration tasks including raising POs as requested for events and making GPC Visa payments.
- →Work with other unit administrators to monitor unit finance, running monthly reports to manage the budget and support the Head of Communications.
- →Image library tasks including checking all images used in publications and materials have relevant licences and copyright and contact photographers for image copyright requests.
- →Manage the allocation of communications helpdesk requests, to ensure new requests are picked up in a timely manner and transferred to the relevant team member to manage.
- →Make routine arrangements and bookings, such as meetings, travel and hospitality.
- →Provide support for team members at meetings which may include taking minutes and note taking as and when required.
- →Help manage the various mailboxes owned by Communications. This will involve monitoring new emails, ensuring they are sent to the relevant person and responding as directed as well as house-keeping e.g. saving emails and keeping mailbox size manageable.
- →Support the unit by helping to keep the communications planner up-to-date and sending it out to the Unit prior to the team meeting on a Tuesday morning.
- →Unit Admin tasks as requested by Head of Communications.
Requirements
~1 min read- Good organisational skills
- Good written and verbal communication skills.
- Demonstrate a good working knowledge of Teams, Outlook, Word and Excel and an interest in developing wider digital skills.
- Knowledge of the NatureScot finance system
- Have the ability to prioritise tasks and plan effectively
- Have a flexible approach and be able to work on your own initiative under guidance as well as being part of a team.
- Be able to work in a fast-paced environment where deadlines are often short
- Have an interest in the work of the Communications Unit and how it supports the rest of NatureScot.
- To undertake a Disclosure Scotland application.
- Although Gaelic language is not a prerequisite it is a desirable skill in support of our commitment to our Gaelic Language Plan.
