Our Dallas office is Winners Circle Group of Texas's largest site, and we are looking for the person who will be its home base. Our clinical and outreach teams work in the field - visiting clients, conducting assessments, and serving the community - and they need an Executive Administrator who holds the center steady while they do.
 
This is not a behind-the-scenes role. You are the voice clients hear when they call, the scheduler who makes sure assessments actually happen, and the teammate the field staff rely on to keep the day moving.
We are looking for a confident communicator and a natural problem-solver - someone who picks up the phone to schedule a client assessment without hesitation, spots a gap in a process and brings an idea to fix it, and takes ownership of the office without waiting to be asked. Reliability is the job. If you are the kind of person colleagues describe as "the one who always follows through," we want to talk to you.
 
What you'll do
You will be the primary point of contact for scheduling client assessments and coordinating activities on behalf of the field team - reaching out to clients directly, confirming appointments, and keeping the calendar tight. You will manage office operations, maintain client records in compliance with confidentiality policies, keep internal databases and spreadsheets accurate, and prepare reports and presentations for leadership. You will answer and redirect calls, handle general inquiries, manage mail, order supplies, and keep office policies current. And you will bring ideas - because we want a teammate who helps us improve, not just one who executes.
You will report to the Admin Director and to the Director of Operations for the Dallas site.

What you bring
  • Proven experience as an Administrator, Administrative Assistant, Office Coordinator, or in a related role - ideally in a healthcare, behavioral health, or other field-based environment
  • Strong scheduling and coordination skills, including direct client outreach
  • Knowledge of office management systems and procedures
  • Strong computer skills, particularly Microsoft Office Suite
  • Proficiency with standard office equipment (printers, fax machines, phones)
  • Excellent organizational, time-management, and multitasking abilities
  • Strong written and verbal communication skills
  • High attention to detail and a problem-solving mindset
  • High school diploma required
Schedule: Monday through Friday, 8:00 AM to 5:00 PM. Full-time, on-site.
 
Compensation: $18–$21 per hour, commensurate with experience.
