Email Manager – Fundraising Products

Summary

The Wikimedia Foundation is looking for an Email Manager, Fundraising Products to join its online fundraising team. You will be a key participant in the Foundation’s year-round, multilingual fundraising campaigns, managing a team of developers to produce high performing email campaigns, while also supporting other projects. The magic of the online fundraising team’s process is its dedication to controlled (“a/b”) testing, which leverages Wikipedia’s audience of millions of readers to iterate and improve all elements of our online donor pipeline. We use that testing model in email to contact more than 15 million people each year while ensuring we respect our donors’ time and their inboxes. 

The Email Production Manager will report to the Senior Manager, Fundraising Products and work with them to understand the overall needs from email on the program. They will directly manage two Front End Development Specialists and also work very closely with content, localisation, audience strategy, segmentation, analytics and numerous other teams to ensure campaigns are setup correctly. They are the key driver to ensure stakeholders across the fundraising team understand our schedules, shore up QA processes and actively work on email deliverability to ensure emails reach the inbox.

An ideal candidate has experience managing bulk email campaigns, coding bulk emails, managing diverse stakeholders in a virtual environments, using a team management tool such as Asana, and brings new ideas to improve efficiency and use of our email marketing platform Acoustic and supporting technology in email . TWe are looking for a detail-oriented, empathetic people manager who understands how to create a challenging and interesting work environment, achieving our ambitious goals without sacrificing work life balance. Above all, the Email Campaign Manager will be a critical part of getting out the message to Wikipedia readers and donors that free knowledge is worth supporting. 

You are responsible for: 

  • Manage the delivery of more than 40 million emails a year to donors in 20 countries and 15 languages, ensuring high-quality, high-converting content 
  • Maintain a rigorous A/B testing strategy, working closely with the Campaign Manager and Email Production Specialist to produce tests and track results over time with the ultimate goal of increasing donation and conversion rates 
  • Manage the work of our Email Production Specialist, ensuring their ability to prioritize work, build their technical skill, and develop strong design and QA guidelines for our campaigns. 
  • Oversee campaign calendars and work with our Donor Services, Fundraising Tech, and Payments team members to establish optimal schedules Refine team processes around QA and test documentation to ensure high quality content is being produced at every level of the flow. 
  • Code error-free emails when the Email Production Specialist needs additional support. 
  • Support our Analytics and reporting team members in producing timely, accurate reports that tell a clear narrative about results Monitor campaign performance and identify changes in metrics that require immediate action  
  • Produce clear test recaps with the help of our Evaluation Consultant and work with CM to report a narrative behind results, making it easy for other teams to visualize the workings of the email program  
  • Outline timing and strategies for deliverability campaigns, helping to warm up new domains and improve deliverability for tricky email clients  
  • Document email program processes and identify opportunities for improvement Jump in temporarily to help with existing projects when gaps arise, or to support new projects that may come up 
  • Continually find ways to evolve and improve team processes 
  • Develop and implement an operations strategy for the team to produce and execute fundraising campaigns
  • Manage the end-to-end stakeholder orchestration and communication strategy of email projects. Lead critical conversations with stakeholders to coordinate timelines, align strategies, and provide project expertise. 
  • Lead email campaign specialists with day-to-day coordination of project schedules and task management. Organize weekly email production meetings.
  • Lead the onboarding and training of email team new-hires. Serve as the point-of-contact for technical issues and project-related questions.
  • Create comprehensive documentation on email planning and processes for team onboarding and cross-team sharing
  • Identify and coordinate with key stakeholders on improvements to help ensure a smooth process. Identify action plans that are measurable while identifying issues or blockers that need to be mitigated.

Qualities that are important to us: 

  • Fantastic attention to detail; “our process is our product.”  
  • Mastery managing fundraising email campaigns from beginning to end 
  • Proficient knowledge of HTML and CSS for email, Adobe Creative Cloud or similar, and enterprise Email Service Provider(s) 
  • Relevant project management and production experience 
  • A track record of A/B testing and using data to drive decisions The ability to thrive in a distributed, international team.

  • Experience managing creative contributors 
  • Exposure to work in multilingual and multinational markets 
  • A history of running successful campaigns to improve deliverability HTML and CSS for web, i.e. for landing page design 
  • Experience in designing graphics for campaigns 
  • Strong writing skills

Salaries at the Wikimedia Foundation are set in a way that is competitive, equitable, and consistent with our values and culture. The anticipated annual pay range of this position for applicants based within the United States is US$109,490  to US$165,924 with multiple individualized factors, including cost of living in the location, being the determinants of the offered pay. For applicants located outside of the US, the pay range will be adjusted to the country of hire. We neither ask for nor take into consideration the salary history of applicants. The compensation for a successful applicant will be based on their skills, experience and location.
