Responsibilities

The job responsibilities of ‘Administrator can be subdivided, including but not limited to the following;

Procurement & Assets Inventory Management

  1. Manage procurement process as per approved Procurement policy of the company.

  2. Vendor management and onboarding of reliable suppliers

  3. Ensure need analysis before completing the procurement process.

  4. Manage and oversee completed tasks by procurement staff.

  5. Approve and oversee the ordering of necessary procurements.

  6. Ensure contracts with the suppliers are updated from time to time and perform risk management related to vendor management.

  7. Ensure cost-effective supplies in terms of price, quality and delivery timelines.

  1. Ensure timely supply of (including but not limited to) all Construction related materials, Office Supplies, Kitchen Supplies, Sanitation related supplies and other procurements for ACE Properties.

  2. Ensure inventory management of all assets of ACE Properties.

  3. Ensure all assets are tagged and properly allocated in the books of Admin.

  4. Manage timely repair and replacement of assets.

  1. Planning of required events as per the requirement and objectives of .

  2. Take initiatives and advise different/attractive ways to conduct these events

  3. Budgeting and resource allocation for such events.

  4. Manage NOCs and approvals from authorities for all such events.

  5. Supervise both internal and external stakeholders of the events

  6. Manage complete documentation of all event-related matters from approvals to billings.

  1. Development and implementation of security policies and protocols .

  2. Recruitment and Training of security staff as per approved headcount.

  3. Review and compile reports in case of security breaches.

  4. Investigate and resolve issues related to security breaches.

  5. Disciplinary actions related to security staff.

  6. Advice on hiring and firing of Security Staff as per company policies.

  7. Ensure that SOPs are prepared and made available d to each and every security staff to ensure all security matters are held as per company policies and procedures.

  1. Ensure all official vehicles are properly maintained

  2. Inspection of official vehicles, when required

  3. Ensure carrying out routine repairs and maintenance and have logs in place.

  4. Ensure that official vehicles are not being used for personal matters

  5. Ensure through Admin Team that all drivers have valid Driving Licenses

  6. Ensure that Admin Team is maintaining and compiling proper logs for all tours.

      1. Manager Admin Team to Ensure maintenance of the interior and exterior of official installations.

  1. Ensures operation of equipment by completing preventive maintenance requirements; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.

  2. Ensure adequate levels of general cleanliness.

  3. Maintain and ensure adequate office supplies

  4. Ensure Admin department is providing required administrative and general support with regards to Health & Safety Regulations.

  5. Take care of, Fire Safety and Health & Safety processes and procedures.

  6. Ensure Admin Team is maintaining hostel facilities in all aspects.

  7. Ensure all records of visitors all properly maintained

  8. Ensure proper receiving and sorting of mails and deliveries at reception.

  9. Recruitment of Security and other Admin outdoor staff as per approved headcount provided by HRD.

  10. To notify disciplinary matters of staff to HRD if any.

  11. Team evaluation as and when required

  12. Team counselling and motivation.

  13. To arrange department meetings with staff on a regular basis and document minutes of the meetings as well.

  14. Ensure availability and preparation of Monthly/quarterly/annual reports in a proper reports format.

  1. Managing function of Land acquisition and Land record management.

  2. Guidance, Training and debriefing of the Land related Teams relevant to the task completions.

  3. Ensure land registration/transaction is carried out in accordance with the land laws and regulations of Pakistan.

  4. Carrying out from paper to computerized registration of documents, where necessary.

  5. Visiting of Courts when and where required regarding litigations.

  6. Provision of information and documents required by Courts or other land record departments e.g., Arazi Records Centre (ARC)

  7. Coordinate and Liaise with all Government Departments / Officials as per the company need.

  8. Maintain a healthy relationship with all Land related Government Departments / Officials.

  9. Drafting and finalization of agreements with Landowners.

  10. Maintenance of Land Records documentation in a safe manner

  11. Documenting all required formal approval from Directors regarding Land purchases.

  12. Safeguarding and securing Company’s interests and resources with regards to all land acquisition-related matters.
