AC Sweepers and Maintenance, Inc. is seeking an organized, detail-oriented Fleet Maintenance Coordinator to support the safety, reliability, and efficient operation of our vehicle fleet.

This administrative and operational position coordinates preventive maintenance, vehicle repairs, parts and tire inventory, vendor relationships, fuel monitoring, and Department of Transportation compliance. The Fleet Maintenance Coordinator will work closely with drivers, supervisors, mechanics, and outside vendors to reduce vehicle downtime, control expenses, and ensure equipment remains safe and ready for service.

The ideal candidate has hands-on knowledge of diesel vehicles, experience coordinating fleet maintenance, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Develop and manage preventive maintenance and repair schedules for company vehicles and equipment by using Fleetio.
  • Coordinate service with mechanics, dealerships, tire providers, towing companies, and other vendors.
  • Track vehicle mileage, inspections, registrations, service intervals, repairs, and maintenance costs in Fleetio software.
  • Maintain appropriate inventory levels for spare parts, tires, fluids, and emergency repair supplies in Fleetio maintenance system.
  • Monitor fuel consumption and recommend strategies to improve efficiency and reduce costs.
  • Ensure vehicles comply with applicable DOT, emissions, inspection, registration, and safety requirements.
  • Coordinate responses to accidents, breakdowns, severe weather, and other events that may disrupt operations.
  • Maintain accurate, organized, and audit-ready fleet records in Fleetio.
  • Analyze fleet performance and recommend process improvements to reduce downtime and prevent recurring repairs in Fleetio.
  • Assist management with purchasing, leasing, replacing, and retiring fleet vehicles.
  • Communicate vehicle availability, maintenance status, safety concerns, and service delays to drivers and management.

Requirements

  • At least two years of fleet maintenance, fleet coordination, transportation, logistics, or related experience.
  • Working knowledge of diesel vehicles and diesel maintenance is required.
  • Experience coordinating preventive maintenance and repairs for commercial vehicles.
  • Familiarity with DOT regulations, vehicle inspections, maintenance documentation, and fleet safety requirements.
  • Valid driver's license with an acceptable driving record.
  • Strong organizational, time-management, and problem-solving skills.
  • Excellent attention to detail and ability to maintain accurate records.
  • Effective written and verbal communication skills.
  • Ability to coordinate multiple vehicles, vendors, repairs, and deadlines simultaneously.
  • Proficiency with computers, Microsoft Office, and the ability to learn fleet maintenance and tracking systems.
  • Ability to respond professionally and efficiently to urgent breakdowns and operational changes.
  • Bachelor's degree in supply chain management, logistics, transportation, business administration, or a related field.
  • Experience supporting a commercial truck, street-sweeping, construction, waste-management, or similar diesel fleet.
  • Experience with fleet-management software, fuel-monitoring systems, vendor negotiations, and maintenance-cost analysis.
  • Preventive maintenance is completed on schedule.
  • Fleet downtime and avoidable breakdowns are reduced.
  • Vehicles remain safe, compliant, and ready for service.
  • Maintenance, repair, fuel, and inventory records are accurate and current.
  • Parts and tires are available when needed without unnecessary overstocking.
  • Vendors complete quality work within established timelines and budgets.
  • Management receives timely information about fleet performance, costs, risks, and replacement needs.
