Our Mission: Honoring People Our Values: Integrity, Compassion, Curiosity, and Helpfulness   The Medical Records Specialist is responsible for various medical records and administrative functions for the parent and branch offices that ensures Home Health Federal Conditions of Participation requirements for provider orders have been met including information that is complete and appropriately documented in compliance with Federal and State requirements and company policies and procedures This position reports to the Compliance Manager.    SCHEDULE   Full time    BENEFITS BASED ON FULL TIME ELIGIBILITY Medical, Vision, Life, and Pet insurance 401k 100% vested Tuition Reimbursement Paid Holidays  MAJOR RESPONSIBILITIES  Provides administrative and branch support for employees and customers through a variety of tasks related to organization and communication. All assigned duties are completed accurately and delivered with high quality, in a timely manner. Serves as a resource for information relating to the company’s services. Accountable for communicating any barriers to complete assigned duties to theirsupervisor.  Reflects the company’s mission and values in developing and maintaining professional working relationship with others. Maintains positive and effective communication with all employees and customers. Maintains confidentiality of all information pertaining to clients, families and  employees.  Manage provider orders to ensure compliance as defined within the Home Health Conditions of Participation.  Reviews provider orders prior to sending and verifies upon receipt that documentation is appropriate for home health certification requirements. Completes follow up on unsigned provider orders as outlined in company policy and process.  Remains proficient in the system(s) utilized for orders management.  Maintains knowledge and seeks out educational opportunities to remain current, efficient and productive as a resource for home health care certification compliance. Provider Management within the company. Maintains accurate provider information within the company EMR(s).  Obtain and verifying provider information included but not limited to: provider licensure, PECOS registration, NPI registration, Medicaid provider enrollment.  Executes informational correspondence to clients and physicians as needed and as directed to aide in the management of provider orders.  Collaborates with employees and other members of the health care team to assist with coordination of Medical Records Requests as directed.  Manages work assignments effectively and remains flexible with unexpected changes. Performs other duties as assigned that may include assisting with the following: Serve as a resource and backup person for delegated tasks as assigned.  Performs miscellaneous clerical duties under the direction of the Operations Supervisor, Clinical Compliance Specialists and Billing Manager. PHYSICAL/ENVIRONMENTAL DEMANDS Primarily office work that requires frequent sitting, standing, bending, and stretching. Light. Amount of weight moved; up to 20 pounds occasionally. QUALIFICATIONS   Minimum of a high school diploma. Two years’ experience working in a related field (i.e. health care, business administration, education) preferred. Excellent written and oral communication skills with customers and employees.  Excellent time management skills and ability to multi-task and prioritize work; ability to work independently with minimal supervision. Maintains professionalism, attention to detail and problem solving skills.  Strong computer skills and the ability to learn new software; knowledge of Word  and Excel a plus; accurate typist – minimum of 50 wpm.  Pass initial and ongoing background studies and screenings including but not   limited to those of the Minnesota Department of Health and the Federal Office of the Inspector General’s List of Excluded Individuals and Entities. SKILLS AND EXPERIENCE Have at least two (2) years’ experience in a health care facility or home care field.  Demonstrates problem-solving skills, the ability to follow standards/procedures, and make appropriate judgments to support regulatory and company requirements. Ability to work independently with minimal supervision, adapt to change, and manage a variety of assignments while establishing priorities and ensuring the necessary duties are completed. Ability to build and maintain professional relationships. Excellent written and oral communication skills; interpersonal communication and teaching skills.  Basic computer skills and willing to learn new software programs; experience with Electronic Medical Records and Microsoft Outlook preferred.  Adara Home Health, Inc. is committed to fair and equitable compensation practices. The base salary range for this position in the U.S. is $41,600 - $52,000 per year. A candidate's salary is determined by various factors including, but not limited to, relevant work experience, skills, certifications, job level, supervisory status, and location.
