What You’ll Do: 
  • Files all external incoming documents (faxed, email, written) appropriately in the EMR on a daily basis. 
  • Ensures medical record systems are maintained in compliance with state, federal and ACHC regulations. 
  • Maintains comprehensive working knowledge of state, federal, and ACHC documentation regulations and serves as a resource for appropriate organization personnel. 
  • Protects the confidentiality of patient and organization information through the effective controls and direct supervision of medical records.
  • Completes and administrative record audit following patient SOC, Recert, and Discharge and reports to the Quality Review Nurse or Clinical Manager regarding results and trends. 
  • Monitors aged unsigned physician orders and submits second and third requests for signed orders to overdue physicians, calls or visits the offices of seriously overdue physicians. 
  • Maintains adequate supply of patient medical record Admission Packets and stock of pre-made medical records available for clinicians. 
  • Answers telephone lines promptly and efficiently when assigned.  Responds to message content appropriately, as instructed by the Office Manager. Records telephone calls into KanTime. 
  • Tracks verification for all skilled services. 
  • Coordinates and verifies clinical documentation for input, i.e., 485–486 forms (Admission through Discharge). 
  • Special projects and other related duties as assigned by the Office Manager.
What You’ll Bring:
  • High school diploma or GED (Associate’s degree or admin certification a plus)
  • 1+ year of experience in medical records management preferred.
  • Proficiency with Microsoft Office (Word, Outlook, Excel, PowerPoint) and ability to learn scheduling/EMR software quickly
  • Top‑notch phone etiquette, written and verbal communication skills, and a friendly, professional demeanor
  • Excellent time‑management and multitasking abilities; you thrive on organizing people and information
  • Demonstrates autonomy, organization, assertiveness, flexibility, and cooperation in performing job responsibilites.
  • Ability to handle confidential information with discretion and navigate a fast‑paced office environment
