About the Role
~1 min read- Contact physician offices by phone, fax, email, and provider portals to request medical records, chart notes, office visit notes, and other clinical documentation required by insurance plans.
- Follow up consistently and persistently on outstanding requests, making repeated contact attempts over days or weeks as needed to prevent delays in patient coverage.
- Build rapport with physician office staff to encourage faster turnaround, and handle occasional pushback or unresponsiveness professionally.
- Track every open case in internal systems, prioritizing outreach based on urgency and how long a request has been outstanding.
- Ensure no case goes stale — actively monitor aging requests and keep each one moving toward completion.
- Accurately and thoroughly document every provider interaction, including outreach attempts, contact names, and next steps.
- Review received records for completeness and accuracy against each payer's documentation requirements before marking a case ready.
- Identify missing, incomplete, or conflicting documentation and proactively resolve it with the physician office before it holds up a patient's case.
- Coordinate with the insurance verification, billing, and fulfillment teams so completed documentation moves patient cases forward without delay.
- Escalate stalled, unresponsive, or complex cases to the appropriate team member when needed.
- Maintain strict confidentiality of patient health information in accordance with HIPAA.
- Contribute ideas to make records collection, provider communication, and turnaround times faster and more reliable.
Requirements
~1 min read- Exceptional persistence and follow-through — comfortable contacting the same office repeatedly over days or weeks without losing momentum.
- Strong organizational skills and the ability to actively manage a high volume of cases at different stages at once.
- Comfortable making frequent outbound calls, including with slow-to-respond or unresponsive offices.
- Exceptional attention to detail and a commitment to accurate documentation.
- Ability to work independently and stay accountable in a remote environment.
- Clear, highly fluent spoken and written English with a neutral, professional phone presence suitable for frequent communication with U.S. physician offices.
- Availability Monday through Friday, 9:00 a.m.–5:00 p.m. Eastern Time.
- Ability to handle sensitive patient information appropriately and maintain confidentiality.
- Experience in healthcare, medical records / health information management, medical administration, DME, pharmacy, or insurance.
- Experience with release-of-information (ROI) requests, medical records retrieval, or working directly with physician office staff.
- Familiarity with fax platforms, EHR / provider portals, or other tools used to submit and track documentation requests.
- Knowledge of Medicare, Medicaid, and commercial insurance documentation requirements.
- Prior experience with a DME supplier, diabetes care company, endocrinology practice, or health insurance organization.
