We are seeking a highly meticulous and technically adaptable Clinical Data Intern to play a critical role in our upcoming system transition. The primary focus of this position is the systematic, high-speed extraction and transfer of sensitive patient data, including demographics, medical histories, and clinical notes from our legacy database into OpenEMR. In this fast-paced environment, you will be responsible for maintaining daily migration quotas, organizing digital files, and conducting routine quality assurance checks to ensure absolute data integrity.

The ideal candidate is a highly computer-literate professional with exceptional keyboarding skills (65+ WPM) and a proven ability to navigate complex, dual-monitor software setups seamlessly. Because errors in medical records directly impact patient care, a razor-sharp attention to detail and strict adherence to regulations and confidentiality protocols are non-negotiable. Prior experience with Electronic Health Record (EHR) systems, medical terminology, and database transition roles is highly preferred. This is an office-based role requiring prolonged computer work, visual acuity, and high manual dexterity.
  • Data Migration & Entry: Systematically extract, transfer, and input patient demographics, medical histories, billing information, and clinical notes from the legacy system into OpenEMR.

  • Patient Data Management: Handle highly sensitive Protected Health Information (PHI) with strict adherence to HIPAA regulations and internal confidentiality protocols.

  • Quality Assurance: Conduct routine data verification checks to ensure data integrity, identifying and correcting any discrepancies, duplicates, or formatting errors during the transfer process.

  • System Navigation: Seamlessly toggle between multiple software platforms and databases to cross-reference patient information.

  • Progress Tracking: Maintain daily logs of migration progress and report any technical roadblocks or data anomalies to the project supervisor immediately.

  • Filing & Organization: Assist with organizing digital files, scanning documents, and attaching them to the correct patient charts within OpenEMR.

  • Attention to Detail: Meticulous approach to data input, recognizing that errors in medical records can severely impact patient care.

  • Healthcare Compliance: Understanding of medical confidentiality laws (HIPAA) and best practices for handling sensitive personal data.

  • Communication Skills: Strong written and verbal communication skills to effectively report system issues or data discrepancies to management.

  • Prior experience working with OpenEMR or other Electronic Health Record (EHR) / Electronic Medical Record (EMR) systems (e.g., Epic, Cerner, Athenahealth).

  • Previous experience in a data migration, data cleansing, or database transition role.

  • Familiarity with basic medical terminology.

  • This role operates in a professional office environment.

  • Requires prolonged periods of sitting at a desk and working on a computer.

  • Requires visual acuity to read data on computer screens and high manual dexterity for continuous keyboarding.
