Location: Thatta, Pakistan

This is a grant-funded contractual position.

 Job Roles / Responsibilities:

You will be responsible for leading and overseeing the overall operations of the field office, including fleet management, field operations, repair and maintenance, and event management. The role also involves liaising with community stakeholders, maintenance of financial records, and providing administrative support to ensure the smooth and efficient implementation of project activities for multiple departments. Specific responsibilities include to:

  • overall supervision of administrative and maintenance functions at the Thatta Research Center to ensure compliance with organizational policies and the smooth execution of project activities
  • ensure proper maintenance and administration of field offices which include safety and security, housekeeping and maintenance
  • provide admin support in the planning, organizing and executing various events of the department in Sindh region
  • ensure that supplies, inventory and stock are distributed properly as per the requirement of project activities; also monitor that proper records have been maintained
  • supervise and manage transport arrangements as per requirement of field sites in Sindh
  • make sure that proper records are maintained in logbooks
  • coordinate with HR for all HR related services for staff 
  • monitoring the attendance of all field staff
  • supervise and coordinate event management activities, including meetings, conferences, seminars, and official visits, ensuring effective planning and execution
  • manage all logistical arrangements, required approvals, and transport and travel coordination in close collaboration with relevant functional leads and the Project Principal Investigator
  • lead fleet management operations and oversee all repair and maintenance activities at the Thatta Research Center, ensuring optimal utilization of both AKU-owned and outsourced vehicles;
  • ensure the fleet remains in good working condition through timely repair and preventive maintenance in accordance with AKU protocols;
  • supervise drivers and assign duties based on operational requirements and the needs of research staff, ensuring efficiency, safety, and compliance
  • establish and maintain strong liaison with government authorities and community stakeholders to support the smooth implementation of project activities
  • ensure that all required permissions, approvals, and regulatory clearances are obtained and in place prior to the commencement of new project activities.

Requirements:

You should have:

  • master’s degree in business/economics/administrative sciences or equivalent
  • at least three to five years of work experience in an administrative position preferably in Health Care Organization
  • excellent communication, interpersonal, and presentation skills with the ability to describe complex ideas in clear and meaningful forms and to present data and information to various audiences
  • ability to manage time and prioritize tasks effectively
  • resilience and ability to cope up with work pressure and stringent deadlines
  • demonstrated ability to work in a professional, multi-disciplinary team as a group leader, facilitator, or participant
  • ability to manage multiple tasks simultaneously and to work under pressure with patience and poise
  • willing to travel to field sites frequently
  • proficient in local language.
