The Aga Khan University invites application for the position of Senior Assitant in the department of Postgraduate Medical Education.
Job Role / Responsibilities:
You will be required to:
- Provide comprehensive executive, administrative, and secretarial support to the Associate Dean, PGME.
- Manage and maintain the Associate Dean’s calendar, appointments, meetings, and schedule engagements.
- Handle incoming and outgoing emails, letters, reports, and administrative documentation, including drafting recommendation letters, file notes, invitations, and memos.
- Organize meetings, transcribe proceedings, draft professional minutes, track action items, and ensure timely follow-ups.
- Support the Manager, PGME, with day-to-day administrative operations, departmental record-keeping, and updating university data systems like V-Fast.
- Coordinate logistics, venues, transportation, and refreshments for official visits, PGME inductions, orientations, examinations, workshops, conferences, and graduation ceremonies.
- Liaise professionally with internal departments, faculty, trainees, university and hospital leadership, and external national or international organizations.
Eligibility Criteria / Requirements:
- Bachelor’s degree in business administration, public administration, healthcare administration, or a related discipline.
- A diploma or certification in secretarial or office administration is an added advantage. Minimum of 2 years of related secretarial and administrative experience, preferably in a healthcare or academic environment.
- Proficiency in Microsoft Office Suite, administrative data-management systems, and digital office tools.
- Strong written and verbal communication skills with the ability to prepare professional correspondence, reports, and minutes.
- Excellent interpersonal, coordination, organizational, and time-management skills to manage multiple priorities under tight deadlines.
- High level of discretion in handling confidential information, strong attention to detail, and ability to work independently as well as collaboratively within a team.
- Flexibility to work flexible hours, including evenings and weekends, during peak operational periods or time-sensitive projects.
