The American Lung Association has an excellent opportunity for an Associate, Constituent Services. Working as a member of the Constituent Services department, you will join an outstanding group of professionals dedicated to our mission: to save lives by improving lung health and preventing lung disease through research, education, and advocacy.

Responsible for direct and indirect revenue processing, database management, and reporting with a focus on data integrity and financial reconciliation while delivering a ‘constituent first’ approach.

Responsibilities

  • Demonstrate a ‘constituent first’ level of service by ensuring that requests for service and support (phone, email, etc.) are quickly addressed accurately and consistently following business rules.
  • Daily batch entry for all gift types (individual gifts, memorials, IRA, donor-advised funds, matching gifts, event revenue, etc.) ensuring accuracy and complete deposit packets sent to finance within 48 hours of deposit.
  • Triage and assign tickets received in Constituent Services queue ensuring all tickets routed appropriately to be addressed within one business day.
  • Monitor weekly acknowledgment processes looking for opportunities to create better efficiency to the organization and donors.
  • Process special event acknowledgment letters, drafting and sending to local development teams for review; mailing within one week.
  • Process special event invoices, obtain proper backup and coding for event merchandise, and submit through Concur.
  • Work with Specialist to provide updated revenue and expense reports to Special Events/Development team weekly.
  • In partnership with Senior Manager and Specialist, process chargebacks according to business rules.
  • Assist in processing reversal batches in ROI. 
  • Serve as back-up for regional associates as volume permits.
  • Work with Coordinator to serve as back-up for matching gift confirmation. 
  • Assist in other Constituent Services projects and duties as assigned.

Requirements

  • Associate degree in business or related field preferred, or equivalent combination of education and work experience.
  • Two to three years of solid administrative experience with ability to handle a variety of inquiries with courtesy and accuracy.
  • Excellent communication skills, both written and verbal.
  • Excellent analytical and organizational skills.
  • Strong contributor within a team environment, with a positive and productive attitude.
  • Demonstrated ability to organize, plan, and carry out activities independently to meet specific, competing timelines and goals under pressure; ability to multi-task, troubleshoot, and set work assignment priorities.
  • Ability to think analytically, establish and maintain systems and processes, and compile data and reports.
  • Experience and proficiency with data management systems.
  • Proficiency in Microsoft Office suite, particularly Microsoft Excel.
  • Ability to lift and carry 25 lbs. (supplies)
  • Experience supporting peer-to-peer fundraising events helpful.
  • Bilingual skills in English/Spanish a plus.
