We’re looking for an organized, energetic, and detail-driven Transportation Administrator to join our team in Exeter, NH.
Working directly with our Transportation Director, you’ll be at the center of a fast-moving operation, supporting everything from billing and permits to customer communication, documentation, call quality, and day-to-day administrative needs.

Responsibilities

You’ll help make sure the right permits and documents are submitted, completed, tracked, and easy to find when we need them.
- Prepare, submit, and track transportation permits
- Maintain organized and up-to-date permit records
- Manage DocuSign envelopes, templates, and signature workflows
- Track outstanding signatures and completed documents
- File and archive completed DocuSign records
- Help ensure documentation meets company recordkeeping standards
If an important document is needed, you’ll know where it is.
Details matter — especially when they affect our customers and operations.
You’ll support quality assurance and operational accuracy by reviewing calls, entering information, and keeping important data current.
- Conduct call reviews and audits to support quality standards
- Complete basic call entry into Towbook and TOPS
- Maintain operational and financial tracking spreadsheets
- Review information for accuracy and completeness
- Identify discrepancies, missing information, and opportunities to improve processes
Sometimes customers have a simple question.
Sometimes they have a billing issue.
Sometimes they’re frustrated and need someone who can calmly figure out what happened.
That’s where you come in.
- Serve as a point of contact for customer questions involving billing, permits, and services
- Communicate clearly and professionally by phone and email
- Research customer concerns and provide accurate information
- Help resolve billing disputes and other service-related questions
- Handle escalations with professionalism, patience, and good judgment
- Represent our company positively in every interaction
We’re looking for someone who can be friendly without being flustered, professional without sounding robotic, and confident when a conversation gets challenging.
You’ll be one of the people our team counts on to make sure information is accurate, accessible, and up to date.
- Maintain organized physical and digital filing systems
- Keep permit, billing, and DocuSign records current
- Update spreadsheets and internal systems
- Verify information and maintain data integrity
- Handle sensitive customer and financial information with discretion
- Stay ahead of recurring administrative deadlines and responsibilities
You’re the person who notices the number is off by $20.
You reread an email before hitting send.
You make lists, keep track of deadlines, and actually enjoy crossing things off.
And when five things need your attention at once, you can figure out what needs to happen first and keep moving.
We’re looking for someone who brings:
- Strong attention to detail
- Comfort working with numbers, payments, and basic accounting
- An audit mindset — you double-check your work and catch discrepancies
- Strong written and verbal communication skills
- Professional and polished email communication
- Confidence handling customer questions and billing disputes
- Strong customer-service instincts
- Proficiency with Microsoft Office, especially Excel
- Experience with DocuSign, or the ability to learn it quickly
- The ability to learn systems such as Towbook and TOPS
- Basic data analysis and spreadsheet skills
- Excellent organization and time management
- The ability to juggle multiple priorities without losing the details
- A process-oriented approach to recurring responsibilities
- Good judgment and discretion when handling confidential information
- A positive, team-first attitude
We value both education and real-world experience.
Qualified candidates should have:
- An Associate’s degree in Business or a related field, OR
- 2+ years of equivalent experience in administration, billing, accounting support, customer service, or a comparable role
Previous experience in transportation, logistics, trucking, towing, or a related industry is a definite plus.
