WHY BOX NEEDS YOU
Our People Operations Coordinator will play a critical role in fulfilling the People Operations Team’s mission to design, continually develop, and reliably deliver People programs, processes, and systems that help grow our business at scale.
This role will help shape the employee experience for all Boxers by providing efficient world-class service and thoughtful curation of moments-that-matter in Boxers’ lives. You will serve as the backbone of our processes across the employee lifecycle, all while learning alongside a highly collaborative (and fun!) team.
WHAT YOU'LL DO
- Japan Onboarding & Operations Support
- Take ownership of the new hire system and process onboarding to enhance the Boxer experience and ensure they feel supported from Day 1.
- Manage and coordinate the Japan onboarding schedule, send welcome emails to both Full-Time Employees (FTE) and Contingent Workers (CW), facilitate welcome sessions, manage first-day-of-the-month administrative tasks, edit the new hire pathway, administer Google Calendar schedules, and manage swag inventory.
- Learning & Development (L&D) Support
- Act as a learning partner for basic training courses by utilizing zoom features, marking attendance, and organizing other housekeeping items.
- Track employee’s completion of mandatory trainings and make necessary communication.
- Support specific senior leadership learning programs
- HRIS (Workday) & Ticketing System (ServiceDesk) Administration
- Lead operational support efforts, complete data entry, and audit manager transactions in HRIS (Workday) and other systems with a high degree of accuracy across the employee lifecycle (from onboarding to exit).
- Provide top-notch administrative support for Boxers and the People team by taking the lead on People ticketing system (ServiceDesk) queries, resolving issues, and escalating to appropriate groups when necessary.
- Culture, Community & Boxer Support
- Support Culture & Community initiatives and provide dedicated support for Employee Resources Community, Club Actvities, and Farm Boxers (disability hiring).
- Provide ad-hoc HR support and collaborate with global/regional partners to ensure smooth, consistent processes and compliance with key controls.
- Japan-Specific Operations
- Handle purchasing-related tasks for the Japan People team.
- Maintaining digital file/ paper hygiene
- Assist with recruiting duties, including candidate sourcing and interview scheduling.
- Ad-hoc Projects
- Act as the administrator for AI Automate tools to streamline and optimize People Operations processes.
- Work on ad-hoc People Operations projects as assigned to support organizational growth and scale, while fostering your own professional development as a HR generalist.

- Strong interest or experience in utilizing and learning new technologies (e.g., Workday, ServiceDesk, Box for HR) and automation platforms (e.g., AI Automate) to optimize and simplify repetitive administrative workflows.
- Program & Vendor Management:
- Experience in coordinating or administering professional development programs and platforms
- Communication Skills:
- Excellent verbal and written communication skills in both Japanese and English.
- Education:
- 4‐Year University Degree is required.
