As a proud partner with Kelowna Aerospace Defence Programs, we deliver a wide range of critical support services to military training operations. In this role, you'll be part of the team that ensures students, staff and visitors have a seamless and welcoming experience every day.
The Administrative Support position reports to the Client Services Supervisor and provides essential administrative, reception and coordination support across the site.
Responsibilities
~1 min read- Prepare clear, accurate reports, letters, and documentation
- Process bookings and reports in UniResMan hotel software
- Support staff and students with claims, course reports, and travel arrangements
- Transcribe and prepare minutes for meetings
- Prepare documents and welcome packages for new students
- Conduct orientation briefings for new student courses
- Maintain reference library publications
- Create building access cards and ID badges
- Assist with stocking supplies and cross departmental tasks
- Manage incoming and outgoing mail; coordinate information flow
- Provide backup support to other Client Services team members
- Order and maintain office supplies
- Maintain telephone lists, files, and routine administrative records
- Respond to telephone and email inquiries professionally and accurately
- Greet and assist visitors, vendors, and customers in a courteous manner
- Ensure a positive front-desk experience that reflects CBO's standards

- High School Diploma or equivalent (required)
- Certificate in an administrative field (asset)
- 1-3 years of administrative experience in an office environment
- Knowledge of RCAF administrative functions and processes (asset)
- Strong attention to detail and accuracy
- Intermediate use of MS Office (Word, Excel, Outlook, Teams)
- Organized, with strong time management skills
- Ability to work effectively with shifting priorities
- Self-motivated, reliable and resourceful
- Excellent verbal and written communication skills
- Eligible to obtain an Enhanced Reliability Clearance by the Canadian Industrial Security Directorate
- Be part of a mission‑driven team supporting Canada’s military training programs
- Build specialized administrative skills in a unique operational setting
- Work with supportive colleagues in a collaborative environment
- Play a central role in helping students and staff succeed from day one
- Gain valuable experience with government and defence‑related processes
