The Temporary Part-Time Program Coordinator supports the day-to-day operations and execution of the American Heart Association Scholars Program, a national workforce development initiative designed to prepare future leaders in healthcare, research, public health, and related fields. The coordinator serves as a key operational partner, ensuring projects, communications, events, and participant engagement activities are executed efficiently and on schedule.
This position works closely with the Executive Lead, Program Leads, scholars, alumni, mentors, faculty partners, volunteers, and internal Association stakeholders to support recruitment, onboarding, program delivery, reporting, and event logistics. This is a remote position.

Responsibilities

- Support implementation of the annual Scholars Program workplan and operational calendar.
- Track project milestones, deliverables, and key deadlines to ensure timely completion of program activities.
- Maintain project management tools, timelines, and program records.
- Coordinate scheduling and logistics for meetings, webinars, mentor sessions, and other program activities.
- Support program documentation, file management, and process improvement efforts.
- Serve as a primary point of contact for scholars, alumni, mentors, and faculty partners.
- Support participant onboarding and ongoing engagement throughout the program year.
- Monitor completion of required forms, surveys, and program requirements.
- Assist with mentor matching processes and communications.
- Coordinate participant communications and follow-up activities.
- Assist with the recruitment and application process for undergraduate and graduate pathway participants.
- Coordinate application tracking, data collection, and status communications.
- Support interview scheduling and selection logistics.
- Assist with onboarding of newly selected scholars and mentors.
- Coordinate logistics for virtual and in-person program events, including:
- Scholar orientations
- Leadership development workshops
- Mentor engagement activities
- Research Symposium
- Scientific Sessions activities
- Alumni networking events
- Manage registration processes, participant communications, and event tracking.
- Support speaker coordination and event materials preparation.
- Support communications with students, alumni, mentors, volunteers, guest speakers, institutional partners, and funders.
- Assist with outreach campaigns and engagement initiatives.
- Draft routine program communications, newsletters, and updates.
- Coordinate meeting notes, action items, and follow-up communications.
- Maintain accurate program databases and participant records.
Requirements
~1 min read- High school diploma or equivalent. A bachelor's degree is preferred.
- Three (3) years minimum prior relevant work experience.
- 2-4 years of experience in program coordination, project management, education, nonprofit management, workforce development, or related field is preferred.
- Strong organizational and project management skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities simultaneously while meeting deadlines.
- Proficiency with Microsoft Office Suite, Teams, Excel, and virtual meeting platforms.
- Strong attention to detail and customer service orientation.
Nice to Have

- Experience coordinating national programs or multi-stakeholder projects.
- Familiarity with volunteer engagement and event planning.
What We Offer
~2 min readHourly Rate: $38 per hour. Pay is commensurate with experience; geographic differentials to the pay range may apply. The American Heart Association reserves the right to pay more or less than the posted range.
