Reporting to: Head of School
The Chief of Staff role at Urban School of San Francisco serves as a key advisor to the Head of School and is a member of the school’s leadership team. The Chief of Staff will support an environment typified by learning and collaboration, support progress on institutional and strategic goals, and facilitate an atmosphere of excellence and integrity. The role handles a wide range of matters on behalf of the Head of School including strategic and high-level administrative duties of broad scope and complexity. This leader must be able to work collaboratively on circumstances arising in all areas of the School, especially when subtle, sensitive, and sophisticated matters and relationships are at play. Ultimately, one of the primary goals for the Chief of Staff is to make time, information, and decision processes at Urban more effective at the leadership level.
Additionally, this position will be the chief steward of the Urban School Board of Trustees and will partner with key senior administrators at the school.
Support the Head of School
Act as the Head of School’s key Administrative Support and Assistant;
Partner with the Head of School to ensure that time, information, and decision processes at Urban are effective, clear, and communicated appropriately;
Anticipate potential challenges, opportunities, and roadblocks for initiatives and programs at Urban;
Manage the logistics and operations for the Head of School and the Head’s office;
Support members of the administrative team on an as-needed basis;
Keep the mission, core values, and principles of Urban at the center of all actions and decisions
Coordinate Finalist Visit Schedules and Logistical Arrangements for Faculty and Staff Candidates;
Board of Trustees Administration and Support
Manage Board systems, calendar, communications, and board portal;
Serve as a liaison to the Board Chair and other Committee Chairs (as needed);
Attend all Board meetings and relevant Board committee meetings, ensuring that the official Board minutes and committee notes are accurate and archived;
Ensure that the Board follows all Urban School of San Francisco Board of Trustee bylaws and adequately reviews bylaws every third year;
Support the Head of School in coordinating the annual Board Retreat and Retiring Trustee Celebration;
Coordinate all logistics of general Board meetings, including facilities, IT and audiovisual needs, Zoom meetings, and catering;
Coordinate and schedule meetings across multiple stakeholders that include Board members, Head of School, senior leadership team, and/or external partners.
Event Planning and Organization
Lead the Planning for Urban’s Commencement Ceremony;
Schedule and Arrange Head of School Lunches / Snacks with Members of the Senior Class;
Coordinate All Adult Gatherings (Winter Party, End of Year Celebration);
Arrange for Faculty and Staff Milestone Celebrations;
Work with the Registrar and Dean of Curriculum and Analytics to plan and execute the annual Back to School Night for Urban parents
International and Domestic Trip Logistics Support
With Trip Leader, set application and acceptance deadlines;
Send information to eligible students and families about upcoming trips and application details
Schedule student and parent information meetings (which are run by lead teacher)
Once applications have been submitted and approved by the lead teacher, School Counselor, and Assistant Head for Student Life, conduct blind drawing to determine accepted students and waitlist
Get from CFO tuition amounts (including financial aid information) and deadlines for accepted students.
Send acceptance letters and trip invoices to families
Build/Maintain trip webpages with information for travelers and parents
Communicate with travelers’ families regarding deadlines for Trip registration, Visas, Passports, Medical information, Releases, and Liability Waivers
Gather all necessary paperwork and provide necessary information to chaperones to take with them and send digitally (medical forms, parental travel permission, etc.)
Closer to departure, set an evening family meeting to discuss trip details (packing, host family stays, health and safety, itinerary specifics, etc.

Qualifications
Bachelor’s Degree or higher;
An authentic consonance with the stated core values of Urban School;
Exceptional emotional intelligence and a demonstrated capacity at understanding school cultures, traditions, and expectations in service of building trust with constituents at Urban;
Proven organizational, communication, collaboration, planning, event coordination, and administrative skills;
An ability to handle sensitive and confidential information with discretion;
A demonstrated commitment to supporting and contributing to equitable and just workplace culture;
Physical Requirements and Working Conditions
Typical Working Conditions: Climate-controlled, office environment.
Equipment Used: Laptop computer, printer/copy machine
Essential Physical Tasks: Some lifting, carrying, pushing, and/or pulling; and significant fine finger dexterity. This job requires 50% sitting, 10% walking, and 40% standing.
