​​​​​The Logistics Coordinator is responsible for coordinating daily transportation activities, including scheduling pickups and deliveries, entering shipment information into the company system, communicating with carriers and brokers, and ensuring transportation documents are accurate and complete. 

Key responsibilities include: 

  • Coordinate truckload, refrigerated, dry van, rail, and third-party transportation based on shipment requirements. 

  • Request and compare freight quotes from brokers and carriers, and apply approved fixed lane rates when applicable. 

  • Schedule pickup and delivery appointments with vendors, warehouses, carriers, and customers. 

  • Enter and maintain accurate transportation information in the ERP system, including pickup date, delivery date, origin, destination, carrier, freight cost, equipment type, temperature requirements, PO number, pickup number, pallet count, and product description. 

  • Determine proper shipment type and equipment needs, including dry van, reefer truck, rail container, or intermodal options based on distance, product type, and buyer instructions. 

  • Prepare, save, print, and send dispatch/load confirmation documents to carriers and brokers. 

  • Communicate with buyers, carriers, brokers, vendors, and warehouse teams to confirm shipment details and resolve transportation issues. 

  • Track and follow up on special shipment requirements, including vendor appointment rules, pickup numbers, warehouse requirements, food-grade equipment requirements, and temperature control instructions. 

  • Review freight invoices, bills of lading, and supporting documents to verify shipment dates, locations, carrier names, freight charges, PO/SU/TR numbers, and pickup references. 

  • Match transportation invoices with system records and confirm invoices when all information is accurate. 

  • Identify and report document issues such as missing signatures, unclear invoices, incorrect freight charges, missing freight links, or incomplete BOLs. 

  • Organize and maintain transportation documents, including invoices, BOLs, signed copies, issue files, and supporting records. 

  • Assist with transportation charge entry for purchase orders, sales orders, transfer orders, return orders, and third-party shipments. 

  • Maintain accurate carrier, broker, vendor, and warehouse information in the system. 

  • Support regular domestic transportation operations, including produce shipments, warehouse transfers, customer deliveries, and broker/carrier coordination. 

  • Follow company SOPs to ensure shipment accuracy, timely communication, proper documentation, and smooth transportation execution.
