Role Purpose The Business Analyst: CAFM Platform Owner is responsible for the strategic ownership, governance, continuous improvement, and operational effectiveness of the organisation's Computer-Aided Facilities Management (CAFM) platforms. This role serves as the primary liaison between Facilities Management, Property Management, Operations, Finance, Procurement, Sustainability, Risk, and Technology teams to ensure that the CAFM platform supports business objectives, operational efficiency, regulatory compliance, asset lifecycle management, maintenance management, contractor performance monitoring, and data-driven decision-making. The incumbent will combine business analysis, platform ownership, process optimisation, data management, project delivery, and stakeholder engagement responsibilities to maximize the value derived from the CAFM solution. Key Responsibilities CAFM Platform Ownership •Act as the business owner and subject matter expert for the CAFM platform. •Define and maintain the long-term CAFM roadmap aligned to business strategy. •Manage the platform lifecycle, including upgrades, enhancements, integrations, and vendor relationships. •Establish platform governance, standards, policies, and operating procedures. •Ensure system availability, reliability, performance, and user adoption. •Prioritise enhancement requests and manage the application backlog. •Coordinate testing and deployment of system changes. Business Analysis •Elicit, analyse, document, and validate business requirements from stakeholders. •Conduct workshops and discovery sessions to identify process improvement opportunities. •Translate operational needs into functional and technical requirements. •Produce business cases, requirements specifications, workflow diagrams, use cases, and user stories. •Facilitate stakeholder sign-off of requirements and proposed solutions. Facilities and Asset Management Process Optimisation •Analyse facilities management processes and identify opportunities for automation and efficiency improvements •Standardise maintenance, helpdesk, asset management, inspection, contractor, compliance, and reporting processes. •Develop future-state operating models and workflows. •Support implementation of preventive maintenance and lifecycle management strategies. •Ensure alignment of CAFM processes with organisational policies and operational requirements. Systems Integration •Manage integrations between the CAFM platform and enterprise applications including: oSAP S/4HANA oFinance Systems oProcurement Systems oVendor Management Platforms oDocument Management Systems •Work with technical teams and vendors to ensure stable integrations and data integrity. Project Delivery •Lead CAFM-related projects, upgrades, system implementations, and process improvement initiatives. •Support and/or implement new client implementations. •Develop project plans, business cases, timelines. •Coordinate vendors, consultants, business stakeholders, and internal IT teams. •Manage project risks, dependencies, and change impacts. Vendor and Contract Management •Manage relationships with CAFM software vendors and implementation partners. •Monitor service delivery against agreed SLAs. •Drive continuous improvement initiatives with service providers. Compliance and Risk Management •Ensure CAFM processes support compliance with: oCorporate Risk Management Frameworks oPOPIA and Data Privacy requirements oInternal Audit requirements •Support internal and external audits. Training and Change Management •Develop training materials and operating procedures. •Deliver user training and workshops. •Provide Level 2 and Level 3 business support. •Champion continuous improvement initiatives. Minimum Qualifications •Bachelor's Degree in: oInformation Systems oBusiness Analysis Experience Required •5+ years Business Analysis experience. •3+ years application ownership or platform management experience. •Experience implementing or supporting CAFM, IWMS, CMMS, EAM or Facilities Management solutions. •Experience with business process modelling and process optimisation. •Experience managing stakeholders across multiple business functions. •Experience with reporting and analytics tools. Preferred •Property Management industry experience. •Facilities Management experience. •SAP integration experience.
