The Intake Specialist role at Turklay Law is a pivotal new position designed to enhance client interaction and ensure every lead is pursued diligently. By focusing on capturing and converting inbound inquiries, the specialist will play a vital role in driving the firm's growth. This person will alleviate attorneys' workloads by managing initial client interactions and streamlining the follow-up process, ensuring that every potential client receives timely and attentive service.
Responsibilities
~2 min read- →Lead Intake and Qualification: Handle incoming calls and form submissions, conduct initial conversations, and assess lead quality.
- →Lead Follow-Up: Track all leads and ensure consistent follow-up via phone, text, and email to prevent lost opportunities.
- →Sales and Conversion Support: Transform qualified leads into scheduled attorney meetings and office visits, ensuring smooth client engagement.
- →Payment and Financial Tracking: Oversee payment plans, including follow-ups on outstanding payments to maintain financial health.
- →CRM and Pipeline Management: Maintain accurate records of leads, follow-ups, and statuses, facilitating effective client tracking and engagement.
- →Community Outreach and Lead Generation: Participate in local events to foster relationships and identify potential new clients. Includes creative lead-generation support such as monitoring court dockets for unrepresented defendants and helping the firm ethically follow up through approved outreach methods.
- →Front Desk and Client-Facing Responsibilities: Serve as the initial point of contact for walk-ins and provide administrative support as needed.
- →General Administrative Support: Assist attorneys and fill administrative gaps to ensure the smooth functioning of the office.
- →Work Setup & Schedule: This is an onsite, client-facing role (front desk initially). Standard hours are typically 8–5 or 9–5, and you must be responsive to hot inbound leads in the early evening (approximately 7–8 PM, 2–3x/week).
- Sales Ability: Proven track record in converting leads and influencing client decisions.
- Follow-Up Discipline: Demonstrated ability to manage leads with attention to detail and persistence.
- Communication Skills: Excellent verbal skills with the ability to engage a diverse clientele.
- Organization: Strong skills in tracking tasks and maintaining detailed records in a CRM system.
- Judgment: Keen ability to assess leads and know when to escalate issues to attorneys.
- Adaptability: Ability to seamlessly handle diverse functions in sales, administration, and client interaction.
- Street Smarts Required: You’re comfortable with a wide range of personalities and can stay calm, persuasive, and professional with difficult or unpredictable callers. This client base requires real-world confidence—not a purely corporate script.
- High Impact: Directly influence revenue and client conversion in a growth-focused firm.
