Responsibilities

- →Administrative Support: Provide comprehensive support for the firm’s trusts, estates, and probate practice, ensuring smooth operational workflows.
- →Data Management: Handle data entry tasks related to client asset information, utilizing cloud-based templates and platforms.
- →Document Preparation: Prepare and complete forms for financial institutions and estate documents, maintaining accuracy and timeliness.
- →Client Information Gathering: Follow up with clients to collect any missing information or documentation, ensuring file completeness.
- →Process Improvement: Adhere to existing procedures and contribute suggestions to improve firm operations, leading to enhanced client services.
- →Collaboration: Work closely with Lisa and the legal team to redistribute responsibilities, optimizing efficiency and productivity.
- Administrative Experience: Prior experience in a legal or administrative role preferred, particularly within trusts/estates.
- Attention to Detail: High level of accuracy and thoroughness in handling documents and data entry tasks.
- Communication Skills: Excellent written and verbal communication skills, suitable for client interactions and team collaboration.
- Client Communication (Selective): May include limited client follow-up calls (missing info / probate follow-ups). Communication must be polished and professional so clients feel they are speaking with a seamless extension of the office team.
- Tech Proficiency: Familiarity with Microsoft Office 365 and Microsoft Teams; comfortable learning new cloud-based platforms.
- Proactive Approach: Ability to ask questions and seek clarification when tasks are not clear; strong problem-solving skills.
- Schedule: Target overlap is 11:00 AM–7:00 PM Eastern Time, with flexibility depending on workload and whether client follow-ups are required.
